Job Description
We are seeking a Human Resources Coordinator who will play an integral role in OB/GYN to carry out day-to-day administrative support. Will support credentialing, HR and payroll areas with great attention to detail in a professional and courteous manner.
Specific Duties & Responsibilities
Credentialing
Prepare new appointment and reappointment Johns Hopkins Hospital credentialing paperwork packets for the GYN/OB Physicians, Physician Assistants, Clinical Associates, Nurse Practitioners, Nurse Midwives, Fellows (Clinical/Contract Physicians), and Genetic Counselors. Monitor the progress of the credentialing verification by the Medical Staff Office to meet the required start date and submit completed credentialing paperwork to the Medical Staff Office for their review and approval within the required deadlines.
Work with all Gyn/Ob Fellowship Coordinators and Medical Training Program Administrator for GON and MFM to credential and complete SOM appointments and reappointments for all incoming clinical fellows.
Work with Physician Advisor and Chairman to complete all incoming credentialed providers as well as all reappointments.
Process all resident rotators for the department
Work closely with the Office of International Services for those applicants who may require visa services.
Work closely with the JH Bayview Credentialing team for all JHH/JH Bayview joint appointments.
Prepare yearly moonlighting contracts, prepare Faculty and Fellow reappointment sheets and liaison with the International Office for the credentialing of the non-US citizen applicants such as the J-1 Visa process.
Research Fellows SOM appointment paperwork through the Postdoctoral Office and then working with the International Office to obtain pertinent visas such as the J-1 Visa.
Prepare and submit for processing to the Medical Staff Office and/or the Postdoctoral Office all credentialing changes, resignations, retirements, name changes, Leave of Absence requests, and Delineation of Privileges change requests.
Maintain Peer Review files, monitor and track medical license expirations/renewals, monitor/ track Risk Management certification expiration dates and request providers to recertify within the assigned deadline.
Position includes being one of four Enrollment Supervisors for the department for e-prescribing narcotics in EPIC. This requires the prescriber (physicians, APPs, residents and fellows) to enroll face-to-face with enrollment supervisor. Since there are currently a limited number of licenses for EPCS, the Ambulatory Operations group in the Office of Johns Hopkins Physicians is targeting high volume prescribers first (voluntary currently) and then onboarding new providers as they start.
HR/FMLA/E210 Timesheet Management
Prepare FMLA paperwork for staff members, faculty members and Postdoctoral Fellows in a timely manner to be submitted to the employee for completion and process employee Leave of Absence and/or Short-term Disability supplements in SAP if required.
Monitor continuous FML leave time for staff members through the E210 system and monitor Faculty leave time with assistance from their administrative support and internal spreadsheet.
Update and monitor staff E210 timesheet when the employee is on a leave of absence. Inform employees of payroll and leave issues, which can result in an overpayment and work with the employee to repay the funds from the employee via a check or through payroll deductions.
Run weekly E210 OT Reports to review OT hours and submit overtime ISR supplements in SAP.
Work with the employees/supervisors on timesheet discrepancies, salary reductions, and overpayments. Liaison with HR Shared Services and/or Payroll Shared Services to resolve employee payroll/HR issues.
Payroll
Assist with processing moonlighting ISR supplements for Fellows and Faculty covering for Residents and process monthly On-Call Schedule bonus ISR supplements.
Create and submit monthly KB15Ns transactions via billing JHH and JH Bayview.
Complete month-end closing entries which include preparing contractual invoices for monthly On-Call Schedules and monitoring of the receipt of payments.
Assist Budget Analyst with payroll related responsibilities to include overpayment reports due staff being out on FMLA and short-term disability.
Minimum Qualifications
High School Diploma or graduation equivalent.
Three years related experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.
