General Description And Classification Standards


Coordinates and/or participates in all efforts to publicize and successfully execute various City activities, services, and events while ensuring safety of attendees, staff, vendors, and special guests. Supervision Received Performs work under very general supervision with review and advice from manager or a senior level professional. May work independently with responsibility for an assigned function or program.


Essential Duties & Responsibilities

  • Coordinates event logistics to ensure well organized execution; analyzes and develops event timeline.
  • Responds to questions, complaints and requests for information by telephone, in person or by mail from customers, employees and superiors.
  • Prepares and manages film/video shoot requests to submit for approval.
  • Assists with production and rehearsal activities.
  • Provides clerical support to department and assists in the distribution of information. Reviews and approves site plans/facilitates, city permits/agreements, and park rental applications Serves as event liaison to local/visiting organizers, city departments/entities, vendors, and community organizations.
  • Schedules and maintains communication with speakers, vendors, and participants; processes payment requests.
  • Administer initiatives that support and convey the department's mission, vision and core values. Acts as consultant of event policies and procedures.
  • Secures and manages temporary event staff/volunteers as needed.
  • Assists in preparing a variety of publications, materials, and programs for events. Maintain event logs for future analysis as needed.


Decision Making Selects from multiple procedures and methods to accomplish tasks. May interpret organizational policies and recommend exceptions.


Leadership Provided Provides guidance and training as required to lower level, interns, temporary employees, etc.


Knowledge, Skills & Abilities This is a partial listing of necessary knowledge, skills, and abilities required to perform the job successfully. It is not an exhaustive list. Knowledge of the policies, procedures, and activities of performance of duties relating to the position of a Special Events Coordinator. Skill in effectively communicating with supervisors, employees, subordinates, other staff members, members of the general public and all other groups involved in the activities of the City as it relates to the department. Ability to prepare and maintain an assortment of records, reports and information in an effective manner and according to departmental and/or governmental regulations and to work under a minimum degree of stress related to duties that require constant attention to detail and tight deadlines. Ability to plan, organize and prioritize daily assignments and work activities.


Minimum Qualifications Education and Experience Bachelor’s degree in Business Administration, Mass Communication, Theatre, Drama, Entertainment or related field. 3 years of event planning, fine art selection, logistics, contract administration or similar work experience. Preferred Education & Experience Bachelor’s degree in Public Relations or Marketing plus 4-5 years' of directly related, progressively responsible event planning/logistics experience


Licensures and Certifications Valid Georgia driver’s license at time of appointment and throughout tenure of employment required.
