Job Description


The Iowa Department of Public Health (IDPH) and Department of Human Services (DHS) merged on July 1, 2022 to form one agency, the Iowa Department of Health and Human Services (HHS). We are seeking a Secretary 1 to join the team at the Glenwood Resource Center (GRC) in Glenwood, which offers a continuum of care to Iowans experiencing intellectual disabilities. This is a full-time position with a Monday – Friday work schedule. Employees are eligible for a $1,500 retention payment for a commitment of 7 pay periods (14 weeks) and are eligible for renewal at the end of each 7 pay periods until the facility closes. This position provides administrative support to the Medical Director and Medical Dept at GRC. Some job duties include:


  • Schedule, prepare, and distribute clinical information packets for weekly case reviews with University of Iowa physicians
  • Attend and record minutes for all assigned meetings
  • Prepare quarterly physician orders for provider signature
  • Manage conference room schedule
  • Assist Medical Director with hiring process for new medical staff as requested (i.e., scheduling interviews, preparing interview materials, completing reference and background checks, etc.)
  • Prepare (in standard format) and archive annual physical reports
  • Keep accurate timekeeping records for medical staff
  • Schedule medical and interdepartmental meetings as requested
  • Coordinate process for professional peer review
  • Coordinate scheduling of inservice/training for medical staff as requested
  • Prepare policy training materials for Medical Director to complete training with medical staff
  • Prepare correspondence for Medical Director as requested
  • Verify accuracy of invoices for employee contracts and print for Medical Director approval
  • Manage other diversified activities and projects as directed
  • Coordinate process for Medical Director to complete employee performance evaluations
  • Manage outgoing and sort incoming interdepartmental and clinical mail
  • Manage daily scheduling software for medical staff
  • Prepare MOD schedule draft for Medical Director review, and update schedule with interval changes as requested
  • Prepare and submit ISP reports for medical providers

Minimum Qualification Requirements


Experience equal to one year of full-time clerical or closely related work;


OR


post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;


OR


completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;


OR


certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;


OR


employees with current continuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
