Job Description

We are seeking a reliable and organized Installation Scheduler/Administrative Assistant to join our retail flooring store. As an Installation Scheduler, you will be responsible for coordinating and scheduling all installations with our retail clients, managing contractor installation schedules in collaboration with project managers of remodeling companies, and providing administrative support to our production manager. The ideal candidate should have excellent communication skills, attention to detail, and the ability to work well under pressure, and have very strong computer skills


Responsibilities

- Coordinate and schedule all installations with retail clients, ensuring efficient and timely completion of projects.

- Collaborate with project managers of remodeling companies to manage contractor installation schedules, ensuring proper coordination and allocation of resources.

- Communicate effectively with installers to provide them with their daily schedule, ensuring they are aware of the projects they are assigned to and any specific requirements.

- Utilize our technology systems to create and send out work orders to installers, providing them with all necessary information and instructions for each job.

- Assist customers in understanding how to prepare for their installations, including providing them with pre-installation guidelines, answering their questions, and addressing any concerns they may have.

- Act as a liaison between customers and installers, ensuring clear and timely communication to facilitate a smooth installation process.

- Assist the production manager with administrative tasks such as maintaining records, preparing reports, and managing documentation.

- Communicate regularly with clients, contractors, and internal team members to provide updates on installation schedules and resolve any scheduling conflicts or issues that may arise.

- Maintain a high level of organization and accuracy in scheduling and documentation processes.

- Ensure customer satisfaction by addressing any inquiries or concerns related to installation schedules in a prompt and professional manner.

- Collaborate with the sales team to gather necessary project details and specifications for scheduling purposes.

- Assist in tracking and monitoring installation progress, ensuring adherence to timelines and quality standards.

- Provide timely updates to customers regarding any changes or delays in their installation schedule, and work towards finding suitable alternative arrangements when necessary.


Qualifications

- High school diploma or equivalent (additional relevant education is a plus).

- Minimum of two years of experience using Microsoft Office suite (Word, Excel, Outlook).

- Excellent communication skills, both verbal and written, with the ability to effectively interact with clients, contractors, and team members.

- Strong organizational skills and attention to detail.

- Ability to work well under pressure and meet deadlines in a fast-paced environment.

- Self-motivated and able to work both independently and collaboratively as part of a team.

- Fluent in English (Spanish-speaking skills are a plus, but not required).
