THE POSITION

We are looking for an experienced Retail Project Manager for a 12 month period. We have plans to expand our retail presence in the USA and currently have up to 10 upcoming retail projects across California, Nevada, New York and Florida. These vary in scale and complexity and need to be delivered at different deadlines throughout 2023 and 2024. The projects range from new store openings to minor store refurb works.

We are searching for someone to manage these projects for us on a local level, whilst reporting into the Retail Development team based in our head office in London.

GENERAL RESPONSIBILITIES

  • Site visits: Attending site visits as and when required in the planning phases of projects and attending site periodically once site works commence to ensure works are being carried out in line with what has been agreed with Orlebar Brown and other stakeholders.
  • Timeline management: Liaise with the Orlebar Brown retail development team, architects, general contractors and vendors to establish overall project timelines and update as and when required. Management of timelines to ensure stores opens in line with agreed opening dates, ensuring that Orlebar Brown / vendors / contractors are all working to deadlines and key project milestones are being met that have been agreed with stakeholders, throughout the duration of the projects.
  • Permit process management: Manage the permitting process, when necessary, of all applications and submissions for required permits from local authorities; with support of permit expeditor if required. Ensure that all permit applications are submitted in a timely manner to allow enough lead time for permits to be issued in line with overall project timeline.
  • Meeting coordination: Coordinate regular meetings with Orlebar Brown retail development team / general contractors / vendors and issuing of meeting notes post meeting.
  • Budget management: Manage allocated budget for projects, ensuring budget trackers are being kept up to date and ensure all cost variations are justifiable and approved by senior management. Post project completion, reconcile and issue final project costs reports to Head Office.
  • Construction set management/version control: Ensure that all suppliers / stakeholders are always working to latest Orlebar Brown drawing set and issuance of updated drawing / design packs to all suppliers / stakeholders if updates occur.
  • Project reporting: Issuance of weekly progress reports in the planning and construction stages of all projects.
  • Landlord Design / Construction Manual review and implementation: Review in detail, all design and construction manuals / documents supplied by the landlord and ensure that all suppliers are aware of the relevant documentation and working to requirements / guidelines outlined by landlord. Collate and consolidate all required documentation from Orlebar Brown / contractors / vendors in line with pre-construction and construction processes and submission to the landlord within defined timeline.
  • Stakeholder management: Ensure that all stakeholders, i.e., landlords and property managers are being kept up to date with project plans and timings and ensuring that approval processes set out by stakeholders are adhered to.
  • Post construction document consolidation: Once construction is complete, consolidation of the following assets: Operation and Maintenance Manuals, As Built Drawings, Supplier / Contractor Lien Waivers, Cost Affidavits, and any additional documentation the landlord / Orlebar Brown team may require upon project completion.
  • Punch list management: Once construction is complete, issuance of punch list and timeline for all suppliers to complete assigned items.
  • Vendor sourcing/management: Sourcing of suppliers for items such as flooring / lighting / signage / HVAC / security, etc. Cross quoting and cost negotiation with vendors when necessary. Quality control of elements being supplied/produced by vendors, ensuring they are in line with design concept and Orlebar Brown finish standards.

CANDIDATE PROFILE

  • Permit process and planning submission experience (preferably in the states of CA, NV, FL and NY).
  • Proficient in Microsoft Office (Excel, Outlook and PowerPoint).
  • Strong attention to detail.
  • Budget management experience.
  • Competency in reading architectural plans, schematic drawings and furniture drawings.
  • Strong communication skills - written and verbal. Spanish language skills would be desirable.
  • General understanding of retail store mechanical, electrical, fire safety, security, and IT systems.
  • Knowledge of fixture and furniture production processes.
  • Established supplier list of US vendors and contractors.
  • Comfortable handling multiple projects and varying timelines simultaneously.
  • Retail Construction Project Management experience (minimum 3 years of experience).
