GPRM is searching for an experienced Reservations Manager to join our team.

Description:

The Reservation Manager’s objective is to lead and direct a team responsible for accurate and timely reservation data entry for over 20 resorts while also night audit, reconciliation, and Help Desk services for resort front desks and General Managers. Manages the staff and operations of the team; Prioritizes and plans workload of tasks in compliance with schedules, deadlines and policies; and designs and implements systems and procedures to create and efficient, accountable, and collaborative team. A successful candidate will be required to perform all of the following duties:

Primary Responsibilities:

oLead and direct a team of part and full time employees to achieve productivity and accuracy service levels.

oDevelop and implement new Standard Operating Procedures (SOPs) and technology to increase productivity and efficiencies.Hold team accountable execution outlined in SOPs

oManages the work flow and efficiency of data entry for:RCI, II, GPX, HGV, and 3rd party exchange reservations for all GPR Resorts.

oManages Leisure Rental reservation data entry for all GPR resorts with expectation that case queue is clear by end of day.

oManages the Owner Rental Process as it relates to:Receiving, Accepting, and Denial of Contracts.Contracts into SPI.Owner Disbursements.Resolves Escalated Owner Communication.

oImplements a resort help desk to resolve any reservation and or data entry challenges.

oPerforms all night audit and month end procedures for Vacation Services Accounts.

oAudit all reservation payments to ensure funds are collected and process in accordance monies due on the reservation.

oCreates new and unique methods and procedures to streamline tasks; with an emphasis on efficiency and accuracy.

oVerify all reservations under terms of the Associate Stay Program

oGenerates reports and creates dashboards to create visibility into all efforts supported by the department.Reports will be delivered on a standardize cadence, whether delivered in automated fashion or manually.

oMeasure staff performance and develop appropriate strategies for strengthening areas in need of improvement, including but not limited to; coaching and administering of disciplinary actions, completing annual reviews & training/action plans.

oCollaborate with internal GPVS Departments as well as resort personnel to confirm all reservations are in properly and all folios closed with appropriate monies collected.

oReviews, verifies and reconciles various data and generates routine and specialized reports.

oResolves complex or complicated inaccuracies, missing data or data unable to be verified.

oResearching and verifying all resort information, assisting team members with questions and training, identifying and applying recommendations for improvement.

oMaintains a culture that fosters teamwork

oClose open invoices for 3rd party rental agencies, audit all VCCs, and manages AirBnb payouts.

oPartner other department heads to manage special projects as necessary.

oDevelops strong relationships through frequent communication and the use of professional, courteous and ethical interpersonal interaction.

oExhibits a positive and involved team attitude to all resort departments and maintains open communications with all co-workers for the best overall performance of GPR resorts.

Reports to:GPVS Management Personnel

Physical Demands: Sitting 85%, Walking 5%, Standing 5%, bending, kneeling, lifting, climbing 5%

Requirements

oStrong problem-solving, decision-making and communication/leadership skills

oProven Accounting, Excel, and Reconciliation skills

oPosition is in-office with potential transition to hybrid upon achievement of milestones and approval of manager.

oAssociate Degree or higher preferred but not required

oHotel, Resort, and/or Timeshare Experience preferred

oProficient computer skills including but not limited to: Microsoft office (Word, Excel and Outlook)

oMastery of property management systems and previous night audit experience a plus

oRequires the ability to work independently and also collaborate with cross functional teams to meet expectations and requirements.

oTravel – Up to 10% travel to resort properties required.
