Summary:


Since 1967, North Carolina Outward Bound School (NCOBS) has delivered challenging wilderness adventures that teach more than outdoor skills. Our wilderness courses, from the mountains of North Carolina to the shores of south Florida to the peaks of South America, deliver on our mission “to change lives through challenge and discovery.”


The Recruiting and HR Assistant is part of the Human Resources & Staffing team and is primarily responsible for implementing a schoolwide staff recruitment plan, managing first-season wilderness field instructors, and supporting key HR administrative functions. This entails full oversight of the hiring cycle for first-season field and support staff and management of the onboarding, training, and scheduling for this body of staff.


In support of HR administration, this role works closely with all departments and hiring managers to aid in recruitment, hiring, and onboarding efforts for all positions and ensures success in these areas by providing training and support on interviewing, new hire orientation, and data management processes. This includes developing new administrative processes and technical efficiencies to improve current practices as needed. Additionally, this role will be responsible for data management to ensure data integrity across our technology platforms and will provide employee support to the Vanguard 403(b) plan, ADP payroll platform, and all seasonal and full-time benefit plans.


Success in this position is defined by growth in qualified hires, minimizing staffing shortages, developing clear career pathways that lead to increased staff retention, and establishing structures for consistent and compliant HR data management.


Essential Duties and Responsibilities:


Recruiting


  • Manage all relevant areas on the NCOBS careers section of the NCOBS website. Manage a monthly employment e-blast for interested applicants.
  • Attend regional and national outdoor industry or relevant recruiting conferences and manage NCOBS presence at these events. Work with NCOBS Sales & Marketing team to align efforts.
  • Select (through a non-bias application process) a prior BIPOC Fellow to serve as the BIPOC Fellowship Coordinator from April – August to successfully lead the fellows through their first contract at NCOBS.
  • Maintain and grow existing relationships with universities, OBUSA, and other organizations to support recruitment initiatives. Prioritize building relationships with partners that can attract a diverse staff and who may have outdoor programs, wilderness orientation, or outdoor degree graduates.
  • Support the Staffing Manager in modeling and projecting annual new hire needs.
  • Drive the schoolwide staff recruitment plan. Manage the interview and hiring processes, ensuring target numbers of new hires are met. Target numbers are determined by the Staffing Task Force prior to recruiting seasons.
  • Recruit & oversee all functions of the BIPOC (Black, Indigenous, and People of Color) Fellowship.
  • Complete all onboarding tasks for new hires. Ensure compliance with internal processes and employment law by holding exacting standards for data and record integrity.
  • Manage all applicant tracking via our database. Follow-up with applicants in a timely and professional manner.


Staff Support


  • Facilitate all staff development, training, scheduling, promotion, and recognition for first-year field staff (25-35 staff).
  • Manage all scheduling of training associated with first season staff. Support curriculum design and training of trainers. Serve as the lead trainer or course director for all NC New Staff Trainings.
  • Review and approve all new staff medicals. Follow-up as needed and ensure proper documentation is communicated to appropriate base managers.
  • Support all performance issues with new instructional and support staff, including the management and documentation of performance plans and disciplinary actions.
  • Oversee the career advancement process for first-season field instructors. Ensure proper documentation is completed prior to promotion and facilitate promotional decisions and development plans for this group within the Promotions Team.


HR Administration


  • Support the Staffing Manager with seasonal scheduling and work agreement issuance.
  • Support the HR Director in HRIS (HR information system) projects including the creation of SOP’s, templates, manuals and excel spreadsheets.
  • Provide basic level HR support across the organization, including support of the 403(b) retirement & benefit plans.
  • Work with the Human Resources & Staffing Task Force to develop and implement departmental strategies including annual recruitment goals.
  • Participate in the HR, Program, DEIB (Diversity, Equity, Inclusion, and Belonging) and Promotions team meetings.
  • Declutter then maintain the HR Microsoft Outlook filing system.


Working Conditions


  • Irregular work hours, as necessary.
  • 15% regional travel. Periods of high travel during recruitment seasons (Sept. – Nov.)
  • Must be comfortable in an office setting. 50-75% of time at computer and office.
  • Must be able to lift 50 pounds and participate in moderate physical activity including but not limited to backpacking, canoeing, climbing, running, and ropes course.
  • Travel to base camps as required. This includes overnight stays for a couple of days to 1-2 weeks.


Qualifications


  • Has been on an Outbound Course or is willing to go on courses in order to gain knowledge for successful recruiting.
  • Strong computer competency and ability to learn new software applications quickly. Experience with ADP, JazzHR, Salesforce, and Microsoft SharePoint is ideal.
  • Experience with employee data management, HRIS systems, and/or customer relationship management software a plus.
  • Demonstrate knowledge and passion about NCOBS & Outward Bound programs, history, and philosophy.
  • Solid interpersonal skills and proven ability to establish rapport with applicants, staff, organizations, and colleges.
  • High levels of social and emotional energy. Enjoy talking on the phone, meeting new people, building relationships, and managing employee issues.
  • Strong oral and written communication skills.
  • Demonstrated ability to serve as a trainer for all New Staff Trainings.
  • Able to clear all background and motor vehicle screening.
  • Detail-oriented with strong organizational skills.
  • Experience implementing innovative solutions to solve business problems or upgrade an existing process a plus.
  • Able to multi-task and meet deadlines.
  • Self-starter who can work independently and within a team structure.
