Receptionist

OVERVIEW: Duane Morris LLP, a global law firm with 800+ attorneys in offices across the U.S. and around the world, offers innovative solutions to the legal and business challenges presented by today’s evolving global markets.



SUMMARY: We are seeking an experienced Receptionist to provide award-winning customers service to our clients. In this role, you are the first point of contact for our clients and have the ability to make a positive impression and offer quality customer service. Day to day duties includeproviding secretarial, clerical and administrative support. The receptionist observes theconfidentialityofclientsandallFirmmatters.



ESSENTIAL FUNCTIONS:


Reception:

  • Answer, screen and direct calls to the appropriate individual in a professional manner.
  • Makes visitors welcome.
  • Files and maintains records, copies documents, and schedules meetings.
  • General Office Tasks:
  • Sorts and distributes incoming mail, deliveries, faxes and other communications; facilitates the dispersal of outgoing communications.
  • Administrative Tasks
  • E-mails important announcements to other staff members as directed by Office Manager.
  • Attorney and Staff Support:
  • Assists Legal Assistants with producing and disseminating mass mailings.
  • Assists with light overflow of revising legal documents.
  • Manages office calendar.
  • Makes reservations for business lunches or orders in.
  • Maintains and assembles marketing materials.
  • Other Duties:
  • Prepares check requests.
  • Assists Records Clerk with indexing.
  • Tests video and computer equipment and assists with set-up of video meetings
  • Secures meeting space both inside and outside the office.
  • Submits Attorney’s expenses and vendor’s invoices through Chrome River.
  • Clears meeting room when finished.
  • Some knowledge of legal terms strongly preferred
  • Precise attention to detail
  • Superior customer service skills
  • Ability to multi-task
  • Writing and proofreading skills
  • Good organization skills
  • Strong clerical skills: filing, data entry, basis math calculations and IT acumen
  • PREFERRED QUALIFICATIONS:


EDUCATION AND EXPERIENCE

  • High School degree or equivalent
  • 3-5 years’ previous experience in a fast paced legal or corporate environment
  • Experience as an administrative assistant, secretary or receptionist

      ANNUAL PAY RANGE: $55,000-$75,000



      Please Note: The hourly and/or annual salary amount is based on a *good faith* compensation analysis in pursuant of California Bill 1162, Section 432.3. Final starting salary/wage is dependent on the candidate’s experience level, industry expertise, skills and other factors that are defined in the job description.
