Job Description
Summary


The Project Lead will have the primary responsibility of leading a variety of Campus Facilities projects and the property management of Pier 17. The Project Lead acts as the main liaison to all tenants & staff working or using Pier 17 and is responsible for ensuring smooth day to day operations of project based work on campus. Functions include leading internal project teams, coordinating project activities with external and internal stakeholders, developing and realizing project goals, guiding project priorities, optimizing the effectiveness of the project activity and impacts from inception into operations, and maximizing the project’s overall contribution to the Exploratorium. The Project Lead works closely with Facilities Leadership, , project team members and various Exploratorium departments, outside consultants, contractors, and advisors. The position reports to the Campus Facilities Project Director.


Essential Functions


  • Track project costs and budgets, review requisitions, change orders and other invoices associated with the projects and ensure that contracted work is completed satisfactorily and on schedule.
  • Work in partnership with Campus Facilities Senior Manager to support all emergency repair requests from tenants including assistance with responding to property after hour calls and emergencies.
  • Maintain Tenant Handbook and review with each new Tenant.
  • Document and steward material resources and references of campus standards and manage and maintain project archives.
  • Collaborate with Director of Campus Facilities on project planning and implementation to ensure the stability of ongoing Exploratorium operations and the quality of visitor and user experience during any construction period or tenant activities.
  • Develop and maintain positive day to day tenant relations. Handle tenant requests and issues in a timely and courteous manner, generating work orders to vendors and staff. Follow-up with the tenant to ensure satisfactory resolution of any issues.
  • Ensure Certificates of Insurance for tenants and vendors are up to date.
  • Additional duties as assigned.
  • Prepare Request for Proposals and Project Specifications and participate in the selection of vendors and contractors. Ensure all contracted projects adhere to building rules, regulations and specifications.
  • Communicate with and partner closely across the departments directly affected by any project or tenant activities with goal to minimize negative impact to ongoing operations.
  • Organize, implement, and conduct specific project activities, such as project partner, tenant or internal team meetings. Lead project related work of staff and resource needs.
  • Ensure all projects and tenant improvements, are properly closed out and all record documents and drawings are turned over to Exploratorium Campus Facilities.
  • Monitor and track common space use requests in Pier 17 to ensure efficient and effective use.
  • Conduct regular inspections of Pier 17 common areas and tenant spaces for lease compliance and proper upkeep; collaborate with Campus Facilities team to handle any regular service issues.
  • Understand the terms of all leases and ensure timely performance of Owner and Tenant Lease obligations and delivery of critical information to all constituencies; maintain and manage all other related correspondence supporting key lease dates.
  • Work closely with Campus Facilities Project Director to manage all activity necessary for the successful planning and implementation of a project and monitor goals, budgets, timelines, deliverables and team activity.


Minimum Qualifications


  • Excellent time-management and budgeting skills with the ability to work effectively in a nontraditional, fast-paced environment
  • Computer literacy and experience working with Microsoft Office/Google Suite and Project Management software (MS Project, SmartSheet). Proficiencyin CAD & graphics programs (AutoCad, SketchUp/Layout, Adobe CS Suite) a plus
  • Experience within a museum, cultural institution, informal education, or research setting a plus
  • Talent for collaboration and effective teamwork with internal and external stakeholders
  • Extremely tactful and diplomatic when dealing with people and confidential information
  • Demonstrated ability to forecast and solve critical issues and/or respond to unanticipated problems that may arise during the course of the work day
  • Curious and driven to never stop learning. Possess confidence to hold their own yet has the composure to ask questions and get direction when required
  • Architecture, Engineering, Commercial Property Management or Construction Management, or similar field of study strongly preferred
  • Knowledge of Sustainability Frameworks required; LEED Green Associate or Accredited Professional preferred
  • Excellent organizational, interpersonal, and oral & written communication skills
  • BA/BS Degree and 3 - 5 years’ experience in the Facilities, or Property Management industries; or an equivalent combination of education and experience
  • Ability to read and interpret architectural plans and familiarity with building systems a plus
  • Demonstrated ability to navigate and manage complex organizational structures and processes
  • Demonstrated ability to prioritize and work with multiple agendas and goals with tight deadlines

  • Ability to climb ladders, move swiftly throughout the museum, crawl into tight spaces, lift 50 lb. and use machinery, applying museum safety standards.
  • Ability to operate forklift, scissors lift, and boom-lift in confined areas a plus.
