Job Description

CCG is searching for an energetic, results-driven, and detail-oriented project coordinator and executive assistant to support day-to-day operational and project functions while assisting with organizational improvements and business development. The main duties of this role include coordinating with consultants and clients to manage project deliverables in alignment with organizational goals, assisting leadership with developing and implementing CCG operational policies to improve overall productivity and project efficiency, and contributing to an enjoyable company culture and experience.

What You Get to Do!

The project coordinator and executive assistant is an essential member of the CCG team and is responsible for providing administrative support and coordinating activities of existing and future CCG projects, ensuring that projects are well-organized and running smoothly, identifying potential areas for improvement and efficiency, and includes the additional duties and responsibilities:

1.Provide project coordination support to CCG leadership, including contract deliverables, timelines, and pipeline development.

2.Coordinate with CCG consultant teams to meet project goals, timelines, need for new information, correspondence, memos, meeting minutes and emails.

3.Track and maintain project progress by ensuring necessary resources are available, updated, and properly organized to achieve project and operational objectives.

4.Onboard new staff to CCG workflows and procedures and provides ongoing support to increase adoption of CCG operational processes.

5.Participate in project design meetings, propose improvements if necessary, and perform quality control on existing projects to adhere to standards and best practices.

6.Support long-term business growth and revenue by assisting with contract, grant, and request for proposal (RFP) development and planning.

7.Serve as a client point of contact to provide project updates, respond to inquiries, and other defined deliverables.

8.Provide administrative and office support such as website updates, developing and posting marketing materials, typing, dictation, spreadsheet and report creation, and maintenance of filing system and contacts database.

9.Organize and plan team and client meetings, and provider trainings and events, both internal and off-site.

10.Maintain professionalism and strict confidentiality with all information and materials.

What You Will Need:

Required skills and qualifications:

  • Must be a flexible team player, willing to adapt to changes and eager to take on new challenges
  • Documentation and data management, and ability to use project management tools
  • Ability to maintain confidentiality of information related to the company, staff, and clients
  • Attention to detail and commitment to producing top-quality work, even when under pressure
  • Proficiency with MS Office and productivity tools, including an aptitude for learning new software and systems
  • Passion for the work you do and the people you do it with!
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • At least one year experience in project coordination or executive assistant or equivalent experience in a related role
  • Ability to work independently in a fast-paced environment with multiple competing demands
  • Flexible and adaptable to the changing needs of a small business
  • Excellent written and verbal communication skills

Preferred skills and qualifications:

  • Experience with Office 365, Microsoft Office Suite, Canva, GoDaddy, Zoom, YouTube, LinkedIn, and SurveyMonkey
  • Experience with marketing, website maintenance, and social media
  • Bachelor’s degree in business or related field
  • Experience in developing internal processes, workflows, and digital filing systems


This position functions as an independent contractor and offers considerable flexibility. We estimate 10-15 hours/week (40 hours/month, and up to 60 hours/month). The hourly rate depends upon experience. Work is performed remotely with regular check-ins via video conferencing, messaging, and phone calls. CCG is located in Bend, Oregon and most of our business takes place during 8:00am – 5:00pm (PST). While this is a remote role, the ideal candidate will be based in Central Oregon and be open to minimal travel.
