Beacon Hill Associates is assisting a top client in their search for an Administrative Support Specialist to provide general administrative and office support for company projects. The successful candidate will be responsible for maintaining project files, managing project emails, performing data entry for document control, tracking projects and producing progress reports, and assisting with various administrative tasks. The role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
Responsibilities:
- Make copies of printed materials
- Assist in creating PowerPoint presentations
- Assist with reviewing and finalizing project specifications and changes
- Utilize Access to store and retrieve data
- Manage department calendar and roster
- Prepare memos, correspondence, reports, and other documents
- Track projects and generate monthly progress reports
- Maintain project files and project email inbox
- Organize and maintain filing system
- Make travel arrangements and handle outgoing mailings
- Maintain project tracking system and record minutes from meetings
- Coordinate client/vendor lunches and conference room reservations
- Research information and respond to project-related inquiries
- Collaborate with internal support departments
- Collect and process bills/invoices
- Answer and direct phone calls, sort incoming mail
- Complete weekly timecards
- Provide occasional project assistance to managers
- Coordinate clerical needs for special projects
- Perform data entry for document control
Top Three Daily Tasks:
- Manage project/team calendars (10-15 at a time)
- Format and merge multiple teams' proposals using Microsoft Word
- Assemble PDF documents and work with Adobe Booksaver
Candidate Qualifications:
- Ability to handle multiple tasks and meet deadlines
- Some college coursework is preferred
- Preferred industry background experience: Construction, Engineering, Law, Architecture, or military-related fields
- Advanced knowledge of Microsoft Word, Excel, Access, and PowerPoint
- Strong communication skills
- High School degree or equivalent
- Excellent organizational skills and attention to detail
- Minimum two years of office/clerical experience
