Job Description

Position Summary TCC's BEdA department is looking for a dynamic person to manage our bustling front office. As a member of the Transitional Studies Basic Education for Adults (BEdA) team this position will support and coordinate academic services for students eligible for Basic Skills services and perform a variety of duties to support staff and students. This position will work closely with the BEdA team of Navigators, Data Consultants, and Faculty, taking a leadership role in providing quality support around processes and procedures for all students in the BEdA program at TCC. A successful candidate will need to have strong customer service skills, be knowledgeable about office procedures, be able to connect with a diverse group of students, and be able to clearly communicate complex processes. This position reports to the Director of Basic Education for Adults
Essential Functions
Welcome and support visitors from diverse populations by providing accurate and timely information.
Respond to requests for specific program information and initiate paperwork when necessary, including verifying eligibility for program participants with an emphasis on proving outstanding customer service and problem-solving.
With input from program and assessment staff, coordinate intake processes for new students including testing, orientations, and managing all intake paperwork ensuring that all necessary paperwork, scores, and leveling are compiled, accurate, and stored securely.
Manage hiring, scheduling, supervision, and task assignment of BEdA work-study and part-time hourly staff.
Oversee day-to-day operations and function as a representative of the program to the campus community.
Respond to electronic, phone, and in-person customer and staff inquiries regarding classes, programs, and procedures.
Evaluate and problem-solve student issues, explain complex processes and pathway options, and schedule advising appointments as needed.
Independently resolve client/customer problems by identifying the issues, determining the procedural steps necessary to bring resolution, working with program staff to implement the resolution, and communicating the results to the appropriate stakeholders.
Monitor program activities, in relation to program goals and reporting requirements and report issues to the director
Establish and maintain departmental filing systems including training staff on and maintaining standards of hard copy and electronic student files and office files. Ensure organization, timely processing, security, and ease of retrieval of all information and data.
Carry out functions in ctcLink such as batch assigning advisors and submitting plan stack updates.
Update program policies as needed and train new staff and work-study students on policies and procedures specific to the BEdA program in compliance with state and federal requirements.
Work collaboratively with partner departments such as Advising, Access Services, Enrollment Services, and Outreach and Recruitment to ensure students receive high-quality, appropriate services in a timely manner.
Work collaboratively to schedule orientations, and department meetings, and disseminate this information. (quarterly and annual BEdA calendars)
