Job Description
Job Summary:
Provides program management support to a global USAID-funded, 8-year, multi-million-dollar program intended to support disease-endemic countries to control and/or eliminate Neglected Tropical Diseases (NTD) with proven, cost-effective public health interventions to treat and measure treatment impact against five NTDs: lymphatic filariasis, blinding trachoma, onchocerciasis, schistosomiasis, and soil-transmitted helminths (three intestinal worms). Plans, executes, and finalizes country programs according to strict deadlines and within budget. Coordinates the efforts of team members and external clients to deliver country programs according to plan. Manages and defines the project’s objectives and oversee quality control throughout the completion of the project(s) life cycle. Supports select/assigned country teams to create work plans based on goals and targets and provides technical support to country program to implement evidence-based interventions in one or more multi-sector areas, as well as new technologies and practices. Collaborates with other sectors to integrate work plans, budgets, and multi-sector interventions, which are essential for the success and sustainability of the program.
Accountabilities:
Project Management:
  • Supports select country program teams to ensure compliance with policies and procedures; also, to develop and implement process improvement plans.
  • Identifies and resolves project issues and implements improvement plans to ensure the project stays on schedule and within budget.
  • Develops/reviews subaward documents, i.e., fixed amount awards (FAAs) to ensure clarity and alignment with approved workplans. Monitors and tracks FAA implementation progress in collaboration with assigned country teams.
  • Performs other duties as assigned.
  • Supports the development of annual work plans and periodical deliverables to the donor, such as the monthly progress reports and annual environmental mitigation and monitoring reports.
  • Supports select countries to oversee project implementation with focus on minimizing risk, monitors budgets, and scope to ensure successful execution of project(s) deliverables and completion of project(s).
  • Provides guidance to select country teams, ensuring clarity over project plans and priorities, and encouraging effective teamwork.
  • Works closely with select country program leads to manage and oversee the development of country projects/programs from initiation to completion.
  • Reviews all country requests sent to headquarters for processing and liaises accordingly with respective program functions to ensure alignment with approved annual country workplans.
  • Develop and deliver a project management plan encompassing all the details of a project to the team members.
  • Manages the implementation of program activities, delivering quality and accountability.
  • Evaluates the progress of assigned country programs on a regular basis.
Project Administration:
  • Follow up on the execution of the project according to the project plan.
  • Develops best practices and tools for project execution and management.
  • Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project.
  • Review and finalize reports on the project for management and for funders.
  • Support select country leads to determine the resources (time, money, equipment, etc.) required to complete the project.
  • Collaborate with select country teams to develop a schedule for project completion that effectively allocates the resources to the activities.
  • Share or socialize the best practices for performing all tasks.
  • Communicate with funders as outlined in funding agreements or delegated by Act | West senior management team (SMT).
  • Review the project schedule with senior management and all other staff that will be affected by the project activities; work with select countries to revise the schedule as required.
Business Development and Proposal Management Support:
  • Writes proposal sections (management, similar experience, etc.)
  • Lead design activities, sub-components of a larger project or overall design of some smaller awards
  • Leads aspects of business development and project design efforts (such as drafting management section in a proposal).
Personnel Management:
  • Provide guidance and monitoring for project staff, ensuring clarity over project plans and priorities, and encouraging effective teamwork.
  • Contribute to providing project personnel an appropriate orientation to the organization and the project.
  • Coaches, and mentors project team to ensure quality, efficiency and compliance with project and company standards/policies.

Supervision Given/Received:
  • Coordinates project plans, budgets, training, and resources with management to achieve strategic goals.
  • Typically reports to Associate Director, Programs.
Education: **
  • Bachelor's Degree or its International Equivalent in Civil Society, Communication and Social Marketing, Economic Development, Education, the Environment, Gender, Health, Nutrition, Research, Technology and Youth or a Related Fields.
  • Project Management (PM) Certification preferred.
Experience: **
  • Typically requires a minimum of 8+ years of relevant experience with projects management principles and practices, 2+ years of line management experience required.
  • International or domestic (US) program development or project management preferred.
  • Prior work experience in a non-governmental organization (NGO), government agency, or private organization.
Typical Physical Demands:
  • Ability to lift/move up to 5 lbs.
  • Typical office environment.
  • Ability to sit and stand for extended periods of time.
  • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.
Technology to be Used:
  • Personal Computer/Laptop, Microsoft applications (i.e., Office 365, SharePoint, Skype/Zoom/Teams), cell phone/mobile technology, and standard office equipment.
Travel Requirements:
  • 10% - 25%
The expected hiring salary range for this role is listed below. FHI 360 pay ranges represent national averages that vary by geographic location. When determining an offer amount, FHI 360 factors in multiple considerations, including but not limited to: relevant years of experience and education possessed by the applicant, internal equity, business sector, and budget.
Base salary is only one component of our offer. FHI 360 contributes 12% of monthly base pay to a money purchase pension plan account. Additionally, all US based staff working full-time, which is calculated at 40 hours/week, receive 18 days of paid vacation per year, 12 sick days per year, and 11 holidays per year. Paid time off is reduced pro rata for employees working less than a full-time schedule.
Hiring Salary Range: $83,000-125,000
