Job Description
Essential Duties And Responsibilities


  • Manage confidential files and keep student files up to date.
  • Answer inquiries on procedures and policies relating to departmental functions.
  • Make travel arrangements for conferences, seminars, and workshops for Department Chair or Faculty.
  • Schedule advising appointments for undergraduate and master students
  • Monitor student grades for completion of incompletes and passing grades to enroll in subsequent semesters
  • Proctor and review entrance and placement examinations.
  • Monitor budget expenditures and reports on variances, and may assist in the preparation of the budget.
  • Design 4-year academic plan for students BS Biomedical Sciences Students
  • Provide administrative support and services such as taking minutes, typing, distribution, and report preparation for special projects generated by the department.
  • Maintain grade rosters.
  • Establish schedules and priorities and provides technical assistance in the resolution of problems.
  • Advise incoming and current students for course selection in consultation with the Department Chair
  • Maintain necessary records and documents for the programs such as syllabi, pre-admission exams; credit by exams, and incomplete contracts.
  • Provide post-award administrative support including expenditure approvals, accounting detail, and reporting requirement information. Monitor for allowability on contracts, submit interim reports and review and approve closeout documents.
  • Coordinate orientation for incoming students.
  • Order supplies, materials, and textbooks and revise listings.
  • Coordinate all the programming, schedules, and activities for the Thesis Defense of the Master program in Biomedical Sciences Colloquium
  • Perform graduation audits for Registrar’s Office for all students
  • Prepare regularly scheduled or special reports.
  • Meet with students to compile materials for the composition of the committee letter for health professional schools
  • Assist with the composition and upload of Committee Letters for Health Professional Schools.
  • Coordinate and schedule activities for all programs.
  • Coordinate and schedule activities for the office, anticipating and planning for needs.
  • Perform other related duties as assigned.
  • Participate in the development and interpretation of departmental policies and procedures.
  • Schedule and prepare files for interviews.
  • Review incoming biomedical student transcripts regarding prerequisites, transferrable courses, and completion of breadth requirements.
  • Monitor and submit all incomplete and change grade forms.
  • Monitor program performance and prepare Program Performance Reports.
  • Review Articulation Agreements to review courses that are transferable for credit.
  • Prepare transfer requisition forms.
  • Manage the submission of time cards.
  • Proctor exams for ADA students
  • Monitor budget expenditures and reports on variances; and assist in the preparation of the budget.
  • Establish schedules and priorities and provides technical assistance in the resolution of problems.
  • Manage department assessments in compliance with WASC standards.
  • Order awards and materials for oath and honor in both programs


Education


  • Regionally accredited four-year college degree (B.A., B.S.); or an equivalent of combined education and related experience.


Experience


  • Background in University setting.
  • Familiarity with school programs.
  • Four years in related field.


Knowledge/Ability/Skills


  • Proficient with MS Office: Word, Excel, PowerPoint, Publisher, and Outlook.
  • Very good grammatical and typing skills.
  • Demonstrated ability to plan, coordinate and schedule various office activities.
  • Strong verbal and written communication skills.

  • The ability to perform highly detailed work with sustained attention and care while providing/obtaining information on numerous inquiries is paramount to success in this position.

Salary: $65,000 - $70,000
