OVERVIEW:
To provide coordination and implementation support of defined tasks for the assigned program(s). In addition to the Program Coordinator I duties, the Program Coordinator II has a higher level of experience, conducts business analysis to evaluate programs, tracks and reports data to a higher complexity level, coordinates daily activities, communicates program status to stakeholders, and confirms that outcomes are meeting program requirements.
RESPONSIBILITIES:
- Other duties as assigned.
- Develops and executes communication plans for program stakeholders.
- Conducts program evaluation and data tracking.
- Coordinates, facilitates and leads both internal and external meetings. Depending on the program may plan and coordinate events, conferences, and webinars.
- Develops expertise in program focus areas and stays informed of key developments and training/development opportunities within our network and across the healthcare industry.
- Establishes and maintains effective interpersonal relationships with all levels of staff, agencies, members, providers, and the general public. Attends meetings at PHC and in the communities we serve to assure program deliverables and timelines are accomplished.
- Communicates program outcomes and potential risks to leadership.
- Works with the department to develop tactical department and program initiatives.
- Develops and publishes agendas, meeting minutes, and necessary documentation.
- Supports the successful implementation of projects associated with assigned programs.
- Assists in the development of work plans and tracks tasks, timelines, and resources.
- Coordinates day-to-day program execution.
- Works with relevant units to develop effective and high-quality program improvement projects.
- Develops and maintains detailed program plans and budget summaries.
- Monitors system-level reports developed for projects and/or programs. Summarizes observations and conclusions made from system-level reports and makes recommendations to project and/or program leadership.
- Provides technical and administrative support for the development of business cases and system reports for projects and/or programs. Researches ideas to advance business case proposals through evidence-based literature reviews and surveying of members, providers and/or other health plans.
- Annually reviews reports and assesses the effectiveness of current methodologies.
- Reminds team members of pending deadlines and deliverables.
- Maintains confidentiality and integrity at all times.
Qualifications
Education and Experience
High School diploma or equivalent. Minimum two (2) years of project coordination experience.
Special Skills, Licenses andCertifications
Strong written and oral communication skills. Detail-oriented. Strong organizational skills to work on multiple tasks at one time and efficiently complete assigned tasks within established timeframes and quality standards. Decision-making, problem-solving, critical thinking, and listening skills are required. Ability to work under minimal supervision and exercise independent judgment. Ability to plan, implement, and report on program improvement projects. Ability to anticipate needs and remain calm under pressure. Knowledge of business practices and protocols with the ability to access data and information using automated systems. Knowledge of project/program management methodologies is highly desirable. Valid California driver’s license and proof of current automobile insurance compliant with PHC policy are required to operate a vehicle and travel for company business.
Performance Based Competencies
Must be able to work in a fast-paced environment and maintain courtesy and composure when dealing with internal and external customers. Ability to function effectively with frequent interruptions and direction from multiple team members. Maintains department files (hard and soft copies) per instruction.
Work Environment And Physical Demands
More than 50% of work time is spent in front of a computer monitor. Must be able to lift, move, or carry objects of varying size, weighing up to 10 lbs.
