Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Assistant for the Center for Pharmacoepidemiology and Treatment Science within the Institute for Health, Health Care Policy, and Aging Research. Under the direction of the Associate Director, the Program Assistant provides generalized administrative services to support day to day functions of the Center. Support will range from core Center support, administrative support for faculty, and activities in service of the mission of the Center.
Among the key duties of this position are the following;
  • Organizes, coordinates, and supports Center events (e.g., meetings, retreat, Search Committee, job talks).
  • Prepares and supports the submission of purchase requisitions, expense reports, and other similar processes; serves as a liaison between other administrative units such as Purchasing, Accounts Payable, etc.
  • Manages the calendar of PETS faculty and center leadership, coordinates scheduling and supporting agendas of meetings and events.
  • Manages and maintains Center and staff files, organizes and maintains essential records of the Center (e.g., basic financial data entry, Federal Work Study Program time sheets, project budget filing, etc.), and responsible for coordinating receipt and retention of training records and other essential files.
  • Communicates, prepares, and executes assignments and tasks requiring information gathering, data entry/retrieval, document preparation, and taking minutes at meetings.
  • Assists preparing of human resource, hiring, basic contract and compliance, and other related materials as needed.

Minimum Education and Experience
  • An equivalent combination of education and/or experience may be substituted for the educational requirements.
  • Minimum of a bachelor’s degree plus one (1) year of experience.

Immunization Requirements

Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
