Program Assistant - New Partnerships Initiative

Responsibilities

Provide administrative and clerical support to the New Partnerships Initiative. This includes, but is not limited to, the following:


● Provide administrative support to NPI Lead and Deputy and provide general administrative support to NPI Team members, as needed.

● Support requests for meetings, venue booking, and scheduling. Manage office routine functions for scheduling and tasks for NPI leadership. Manage Conference Room and platform booking (i.e., Google Meets, WebEx, or similar).

● Process and track all NPI documents for necessary Agency clearances, including correspondence, memoranda flow, and official taskings. Coordinate with other program assistants in other offices to develop and manage tasker and correspondence procedures.

● Support the routine tracking of NPI Awards, data, and resources.

● Maintain the NPI folders on the shared drive, coordinating with team members regularly to ensure key documents are filed in a logical manner on the drive and not maintained on personal ‘my drives’.

● Take notes in meetings and ensure they are accessible and legible to attendees.

● Support with team scheduling for internal and external engagements, coordinating team member attendance, setting up calendar invites and technology for in-person, virtual and hybrid meetings.

● Follow-up on tasks assigned to team members.

● Other duties assigned


Travel:

● Develop temporary duty (TDY) “books” for visiting USAID staff coming to DC and coordinate necessary travel “books” for NPI or LFT staff traveling on NPI matters.

● Support team members, as needed, with travel support - scheduling, vouchers, etc.


Communications Support:

Provide communications and records management support. This includes, but is not limited to, the following:

● Collaborating with authors to generate communications products (blogs, reports, etc.) as well as providing copy editing support.

● Drafting correspondence such as letters, emails, etc. with external stakeholders.

● Develop graphics and illustrations for NPI publications, including making them 508 compliant.

● Establish and maintain electronic files on the NPI internal server and simple trackers for the team that can be easily maintained and updated, for instance a tracker for external engagements.

● Filing, photocopying correspondence, and distributing documents for co-creations and other NPI-led events.

● Support the maintenance of the NPI Awards tracker, the award dashboard—including data entry or cleaning—and other knowledge management tools for NPI.

● Develop PowerPoint (Google Slide) presentations, maintaining talking points and other frequently used files for NPI.

Contract Support:

Provide support to Agreement/Contracting Officer Representatives (A/COR) with tasks related to the management of NPI awards. This includes, but is not limited to, the following:

● Maintaining up to date records, files, and documents on the NPI internal drive and support AOR/CORs with filing in the ASIST database.

● Tracking contractor approval requests and Contracting Officer (CO) and COR approvals.

● Drafting forms, approvals, and acquisition or assistance documentation.

Qualifications

Minimum Qualifications:

● Ability to obtain a Facilities-Level Clearance

● Bachelor’s (BA) degree and two (2) years’ experience working in administrative or program support functions or the service industry or, in lieu of a post-high school education, three (3) years’ experience working in administrative or program support functions, graphic design, journalism or communications.

● Exceptional written and verbal communications and presentation skills, including basic graphic design.

● Knowledge of Google Office Suite programs (including Google Docs, Slides, Sheets, etc.) and Microsoft Office Suite (Word, Excel, PowerPoint).

● Demonstrated ability to work independently on projects requiring research and preparation.

Preferred Qualifications, but not mandatory:

● Experience working or living abroad

● Peace Corps, USAID, or implementing partner experience

● Ability to develop effective working relationships in a variety of different ways across a large, complex, and geographically distributed organization
