The Plant Administrator is responsible for accurate production and inventory reporting, evaluation of production schedules, and determination of all required materials to ensure availability. In addition, the Plant Administrator must adhere to product safety and follow all quality and legality systems.
DUTIES & RESPONSIBILITIES
Accounting/Finance Supporting
• Request to create new vendors and new customers
• Follow PO procedure to create vendor PO’s timely and accurately
• Perform good receipts on POs when items or services are received
• Process vendor invoices timely and accurately
• Accruals postings report/request
• Create/Maintain Direct Debits setup
• Support month-end closing tasks to ensure all tasks submitted and closed by WD2
• Review and reconcile vendor statements, resolve PO and invoice discrepancies on time
• Maintain vendor files including W9, Certificate of Insurance (COI) and other documents
• Ensure timely month-end closing without material errors
• Monitor SAP bills of material accuracy (BOM)
• Assist A/R, collection, and other accounting functions
• Support efficient internal control in the plant
• Any other duties as assigned by the manager
Plant Supporting
• Post productions on a daily basis, resolve issues with the plant and SAP team on a timely manner
• Participate in physical inventory count and help investigate the discrepancies
• Coordinate with departments to ensure efficient movement of all materials
• liaise with the operation team to ensure timely receive the POR (Purchase Order Request)
• Production reporting to Plant Manager and Operations
• Delivery order (GI)/Sales Order creation for FP
• Determine the lead time for all required materials to keep an inventory of needed items in the facility
• Order office supplies, PPE, consumable items, and machine tools for the plant
• Update standard operating procedures documentation
• Any other duties as assigned or required to help the plant
COMPETENCIES & QUALIFICATIONS
• At least 3 years' experience in the manufacturing environment
• Knowledge of manufacturing and warehouse environment and inventory
• A/P, A/R, or some accounting experience preferred
• Knowledge of IT troubleshooting
• Excellent written and verbal communication skills
• Attention to detail and organization; ability to meet deadlines
• Excellent interpersonal skills
• Proficient in Excel, PowerPoint and Word required; SAP or another ERP knowledge preferred
