Description


Summary


Under direct supervision of the Controller and general supervision of the Senior Director of Finance and Business, processes all aspects of the College’s payroll for faculty, staff, and students.


Essential Job Functions


  • Produce payment vouchers for the TIAA 403(b) retirement plan payments, as well as for check or information requests for Sentinel Benefits Group Section 125 plans, and Health Savings Accounts for staff and faculty payroll.
  • Verify eligibility for Medical, PTO, or other leave time; maintain accuracy of leave balances in Paycom.
  • Respond to inquiries, questions, and feedback from staff, faculty, and students regarding payroll information and benefits related deduction issues.
  • Primary contact for employees on Paycom functions including but not limited to Time and Attendance, Self Service, and login and password resets.
  • Prepare annual workers’ compensation report schedule for insurance audit.
  • Input information for payroll processing and transmit to Paycom; verify accuracy of payroll checks and distribute.
  • Communicate with Paycom Specialist on a regular basis.
  • Responsible for the accurate and timely processing of payroll for faculty, staff, and students for approximately 1200 W-2’s per year.
  • Work with Information Technology Services, (ITS) and administrators of each school of the College with the processing of faculty contracts. This includes verifying accuracy of contracts received and timely follow up for all contracts and new faculty members, (approximately 1400 contracts annually); and process payroll for over 100 clinical faculty via the hourly staff payroll.
  • Work directly with the Department of Human Resources (HR) and assist in HR benefit and payroll related functions and with Student Employment. Respond to HR/Payroll related requests and seek the counsel of the Associate Vice President of Human Resources and the HR staff.
  • Respond to all audit requests for Payroll reports, documentation and questions.
  • Maintain accuracy of employee payroll data in Paycom including but not limited to pay rates, all deductions (voluntary and statutory), garnishments, liens, accrual balances and labor allocation.
  • Communicate with the Business Office of the Congregation of the Sisters of Saint Joseph, (CSJ) on a regular basis and provide monthly reports.
  • Work with Paycom to resolve state tax registrations and issues that arise. Audit all address changes and new employee information to ensure tax set up is correct.
  • Review supervisor approval status of timesheets and follow up on discrepancies.
  • Communicate with Paycom regarding stop payments on uncashed payroll checks, direct deposits, returned checks and other related check processing issues.
  • Ensure Regis contributions for social security are paid quarterly for all disability payments.


Other Duties And Responsibilities


  • Communicate, as required, with the Internal Revenue Service and State agencies regarding garnishes, levies, liens, and determination of proper withholding amounts.
  • Maintain up to date knowledge on compliance issues related to wage and tax matters.
  • Perform other job-related duties as required.


Supervisory Responsibilities


  • Supervises the part-time Payroll Coordinator.


Qualifications


Skills/Experience/Training Required:


  • Outstanding customer service skills with the ability to work collaboratively with a team.
  • Proficiency in Payroll modules for data entry and reporting. Experience with Paycom or similar payroll and HRIS system, a plus.
  • Excellent organizational skills, attention to detail, and ability to work independently, multi-task, and meet project deadlines with a high degree of accuracy and timeliness.
  • Thorough knowledge of payroll principles, technology, methods and procedures.
  • Proficiency in Microsoft Office products (Excel, Word, Access, PowerPoint).

  • Ability to perform mathematical computations quickly and accurately.
  • Bachelor’s degree required with professional payroll processing and/or related business experience.


Working Conditions/Physical Demands


  • This position is eligible for a hybrid work schedule of on-campus and remote work.
  • May be required to bend and lift to file documents and records.
  • Normal office environment, not subject to extremes in temperature, noise, odors, etc.
  • Regularly uses computer keyboards requiring eye-hand coordination and finger dexterity.
