Job Description
Patient Scheduler I


Using excellent customer service, the Patient Scheduler I is responsible for scheduling patients, verification of confidential information, performing visit functions and acting as a liaison between callers, physician offices and various hospital departments. Establishes a good working relationship between referring physicians/surgeons offices while working closely with multiple departments within the hospital to ensure ease of scheduling of appointments and procedures for patients. Maintains and coordinates all procedures needing to be scheduled at the facility by providing a high level of customer service, professionalism and accuracy to all customers, including the internal departments that they effect. Responsible for accurate record keeping and data entry for patient and provider information.


Patient Scheduler II


The Patient Scheduler II is responsible for obtaining pre-certification, authorization and clinical documentation as well as scheduling patients, confirming, adjusting and canceling patient appointments for services while gathering confidential patient information. This position establishes a good working relationship with patients, physician offices and hospital departments by providing a high level of customer service, professionalism and accuracy. The Patient Scheduler II is a knowledgeable resource and representative of the department and as such, holds greater responsibility/accountability for ensuring the quality and integrity of the services provided to our customers and making sure the information gathered is correct and verified.


Patient Scheduler I


  • Completely and accurately enters data into multiple computer systems of confidential patient and provider information.
  • Answers telephone calls, responds to routine inquiries, and serves as a resource person to those seeking information on outpatient exams.
  • Maintains a good working relationship with referring physicians and specialist's office staff. Facilitating these doctors' offices with anything they need, including dealing with patients, or information needed from the facility.
  • Verifies and collects patient’s data, demographics, insurance and authorization information as appropriate. Ensures that required authorizations are in place before scheduling appointments.
  • Demonstrates ability to prioritize and multitask in the course of scheduling duties for urgent and non-urgent requests.
  • Actively participates in continuous quality improvement activities.
  • Performs general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
  • Accurately schedules appointments for a variety of exams. Adjusts schedule as necessary to accommodate emergent situations and/or cancellations. Discuss preparations with patient prior to exam.

  • Maintains a working knowledge of applicable Federal, State and local laws and regulations, the Integrity/ Compliance Program, Code of Conduct, as well as other hospital and departmental policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.
  • Schedules patient appointments based on predetermined appointment times established by the respective departments for that type of appointment/procedure.
  • Thoroughly documents and communicates all necessary information between providers, patients and internal staff when scheduling incoming appointments and procedures for appropriate hospital departments.


Patient Scheduler II


  • Alerts testing department of any special patient needs or provider requests.
  • Answers telephone calls, responds to routine inquiries, and serves as a resource person to those seeking information on scheduling in a timely manner.
  • Provides feedback and training to Central Scheduling staff and helps maintain department documentation for processes and protocols, and can be depended upon as a knowledgeable resource within the department for staff and other departments.
  • Maintains a working knowledge of applicable Federal, State and local laws and regulations, the Integrity/ Compliance Program, Code of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior.
  • Inputs complete and accurate data into computer system regarding information on the patient, exam and physician with regular re-verification of patient information with documentation, physician’s office and/or patient.
  • The Patient Scheduler II obtains precertification, authorization and clinical documentation required by insurance companies to authorize scheduled procedures.
  • Accurately schedules appointments for a variety of exams. Adjusts schedule as necessary to accommodate emergent situations and/or cancellations. Discuss preparations with patient prior to exam.
  • Performs day-to-day administrative functions and general office duties including but not limited to word processing, copying, filing, faxing, answering phones and data entry.
  • Works with internal and external customers and other schedulers to obtain precertification, authorization and clinical documentation required by insurance companies in order to authorize requested procedures prior to scheduling.
  • Prioritizes calls and orders throughout the day based on multiple factors and physician/patient requests.
  • Maintains a good working relationship with referring physicians and specialist's office staff. Facilitates doctors' offices with requests, and ensuring quality customer care and professionalism while meeting needs with quick response times, thorough and accurate documentation and caring attitude towards patients and other customers.
  • Addresses questions and develops solutions for a variety of issues that come up in the course of the day. Communicates issues, changes and updates to department supervisor/director as needed.
  • Verifies and collects patient’s data, demographics, insurance and authorization information as appropriate. Confirms that required authorizations are completed and in place before appointment scheduling occurs.
  • Actively participates in continuous quality improvement activities.
  • The Patient Scheduler II may be responsible for periodic auditing of Patient Scheduler I’s work to insure accuracy of scheduled tests, documentation and scripting protocols.
  • Schedules patient flow to hospital departments based on predetermined appointment arrangements established by the respective departments for each type of appointment.
  • Maintains a good working relationship with providers and hospital departments
  • Thoroughly documents and communicates all necessary information between providers, patients and internal staff when scheduling incoming appointments and procedures for appropriate hospital departments.

Six months of medical receptionist experience in comparable healthcare setting

Minimum 1 Year Of Customer Service Experience


Experience taking high volume calls


Customer Service experience of two years or more


Degrees, Licensure, and/or Certification


High School Diploma or GED


Knowledge, Skills, and Abilities


Understands the importance of maintaining confidentiality; able to maintain confidentiality under HIPAA standards.


Must have the ability to exercise a high degree of diplomacy and tact; excellent customer service and interpersonal communication skills; Cultural sensitivity and demonstrated ability to work with diverse people groups.


Intermediate to advanced phone skills; able to effectively relate via the telephone and in-person to serve the needs of internal and external customers in a manner that is professional, efficient and productive.


Must be highly flexible; able to accommodate changing needs of the department.


Must be able to multitask.


Ability to work well under pressure with minimal supervision. Proven flexibility and willingness to handle a variety of tasks.


Basic to intermediate computer knowledge and skills.


Training and/or experience with computer data entry and ability to type a minimum of 45 WPM.


Prior administrative or clerical experience in clinical or community-based setting highly desired


Well-developed verbal and written communication skills in English, additional language abilities

1 year experience working as a Clinical Scheduler I or equivalent experience


2 years of experience in customer service, preferably in a care related field


Greater than one year additional experience working with insurances in a healthcare setting.
