Job Description
Job Summary:


Under minimal supervision, uses advanced skills and knowledge gained through training and experience to provide a wide variety of administrative support for a function within a unit or department. It may also support a manager or group of managers within an assigned functional area. Follows established procedures to perform routine tasks and receives limited guidance and direction from performing other work with substantial variety and complexity, requiring decision-making responsibility. Originality and ingenuity are required to locate, select and apply appropriate procedures, processes, and techniques to broad assignments. Serves as a resource to others in the resolution of complex problems and issues. Communicates information with internal and external customers and adapts procedures, processes, and techniques to accomplish the requirements of the position.


Essential Duties and Responsibilities:


  • Performs other duties and responsibilities as assigned.
  • May assign and check the work of lower-level employees and/or be designated as “lead” workers.
  • Researches, gathers, and compiles data and information; prepares reports and summaries; and replies to inquiries, selecting relevant data from a variety of sources.
  • Orients and trains lower-level employees.
  • Utilizes knowledge and understanding of operational policies and procedures to create, compose and edit administrative correspondence and documentation.
  • Serves as a central point of contact for other managers or functional areas and stakeholders in resolving a variety of complex matters.
  • Establishes, updates, and maintains files, inventories and records and implements and maintains data management systems, as required.
  • Performs duties and tasks that reflect substantial variety and complexity.
  • Schedules appointments; maintains calendars; schedules and coordinates meetings, events, and/or travel arrangements, as required.
Qualifications:


Knowledge, Skills, and Abilities:


Knowledge of:


  • Key internal and/or external contacts to request assistance from or utilize expertise.
  • Basic Accounting Principles
  • Office practices, procedures and methods.
  • Fundamental investment concepts, practices and procedures used the securities industry.


Skill in:


  • Researching, gathering and compiling data and information.
  • Implementing and maintaining data management systems.
  • Composing and editing correspondence and documentation
  • Organizational and time management sufficient to prioritize workload, handle multiple tasks, and meet deadlines.
  • Coordinating meetings, events and travel arrangements.
  • Operating standard office equipment and using required software applications.
  • Establishing and maintaining files, inventories and records.
  • Scheduling appointments and maintaining calendars and schedules.


Ability to:

Educational/Previous Experience Requirements:


  • An equivalent combination of education, experience and/or training.
  • Associate’s Degree with a minimum of five (5) years’ experience in customer service or an office environment. ~or~
