Operations Manager

This is a supervisory position that will report to the DTS President and is responsible for business operations excellence across DTS.

What You Bring to DTS:

  • Nimble business mind with a focus on developing creative solutions.
  • Experience with budget management.
  • 7-10 years of relevant work experience in a professional service industry.
  • Wizardry with Smartsheet, Microsoft Excel, SharePoint, Microsoft Project, Asana, or Trello is required.
  • Experience in the aerospace, defense, or space industries is preferred.
  • Strong project reporting skills, with a focus on interdepartmental communication.
  • Scrum Project Management Certification, or experience with Agile Project Management Philosophy and associated techniques.
  • Proven success in a business operations, project management or portfolio management role.

Objectives of this role:

  • Improve current processes and optimize organizational procedures for efficiency and productivity.
  • Oversee strategic business initiatives, from development through successful execution, under the guidance of the President and Solutions Managers.
  • Oversee the back office support functions of the business, including finance, accounting, human resources, IT, security, contracts, legal, vendor management, and marketing support.
  • Assist and communicate with Solutions Managers in decision-making, program management, and initiative implementation.
  • Review, design, and execute improvements to organizational structure; find knowledge and skills gaps and help address them.

Responsibilities

  • Set comprehensive goals for performance and growth.
  • Oversee improvements to people, processes, and technology necessary to maximize delivery of professional services to customers.
  • Serve as liaison with Solutions Managers and President regarding company climate, employee well-being, project updates, proposals, and planning.
  • Coordinates with Solutions Teams on how to best support the delivery of high-quality services to our customers.
  • Develop and implement business operations infrastructure to include resource allocation planning, data analytics, process analysis, procedure development, and tool integration.
  • Participate in expansion activities (investments, acquisitions, corporate alliances etc.)
  • Planning, executing and tracking tasks for internal business operations.
  • Analyzing prior projects to model, forecast and establish lessons learned for future contracts.
  • Serve as an internal subject-matter expert, handling inquiries, developing action plans, and assisting with the preparation and dissemination of communications.
  • Lead human resources including new hires, documentation and onboarding, and collaborate to address and resolve all employee concerns.
  • Meets with and reports to the President about the company’s daily operation, as well as about the President’s plans for any upcoming adjustments or developments to business operations strategy, or other company goals and objectives.
  • Assist Solutions Managers to determine prioritization and resourcing based on client needs and resource availability.
  • Lead the development and management of the Internal Document Library and Knowledge Diffusion Library of processes, instructions, references, and templates.
  • Design and implement business strategies, plans and procedures.
  • Oversee daily operations of the company (finance, accounting, human resources, IT, Security, contracts, legal, portfolio & project management).
  • Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations, and help define new operational strategies by working with the President and Solutions Managers on special projects
  • Provide central oversight of project management, data analytics, and resource planning tools and services.
  • Coordinates with the Sales & Marketing Team on resource availability, capacity, and business economic engine requirements.
  • Ensures alignment and is responsible for business support of current company policies and goals.
  • Helps support the Solutions Managers in client relationship and portfolio management.
  • Lead employees to encourage maximum performance and dedication.
  • Provide Solutions Managers with recommendations and consultation on how to improve service delivery effectiveness.
  • Evaluate performance by analyzing and interpreting data and metrics of utilization, indirect vs direct time spent, and project health (i.e. cost, schedule and burn rate).
  • Lead client onboarding, including contracting, financial setup, vendor management, process integration and activity reporting.
  • Manage company schedule, enterprise resourcing, meeting scheduling and travel planning.
  • Develops and implements policies and procedures for daily operations, and communicates these policy changes to Solutions Managers.
  • Oversee daily operations in collaboration with Solutions Managers, and lead the management of administrative tasks such as managing calendars, generating correspondence, recordkeeping, planning and coordinating annual corporate meetings, and scheduling facilities.
