Job Description
Principal Function: The Operations Assistant is responsible for administrative and warehouse duties in all areas of the branch.
Essential Duties and Responsibilities: Duties include, but are not limited to:
Administrative
  • Assists and/or performs receiving, verifying, sorting, and documenting inbound items.
  • Tracks weekly billing and payments for accuracy.
  • Enters route changes or on-demand runs into Now Courier software for proper billing and vendor payment.
  • Responsible for filing weekly driver manifests, driver log sheets and compliance documents.
  • Verifies vendor payments for all routes not entered in Now Courier software.
  • Answers phones while providing clerical support to branch team and customers.
  • Sorts and verifies all driver manifests and paperwork.
  • Informs and answers day-to-day customer inquiries.
  • Ensures each run is entered into Now Courier software and verifies information for both invoicing and vendor payment.
  • Light office cleaning as needed.
  • Monitors dispatch screen and dispatch incoming jobs to Independent Contract drivers
  • Assists drivers with navigation as needed, prepares maps and route sheets.
Warehouse
  • Receives customer orders, pulls parts and verifies that correct part was pulled.
  • Verifies packing list to part numbers.
  • Conducts random bin checks to ensure accurate inventory/counts.
  • Assists in completing customer cycle counts on time.
  • Sorts payrolls and office supplies for next business day delivery
  • Attaches airway bill to packing list.
  • Prepares shipping or bill of lading paperwork within the customer’s software or completes customer specific airway bills and shipping paperwork manually.
  • Sorts inbound freight and products for stock or shipment.
  • Ensures proper counts of coolers are up to date and customers notified when reorder is necessary.
  • Assists in inbound process by verifying the correct number of packages received by 3rd party.
  • Prepares paperwork for outbound shipments.
  • Prepares part for tech or driver pick-up.
  • Sorts material for individual customers as needed to prepare for driver pick up.
  • Loads outbound freight and product for stock or next day shipment.
  • Assists in overall cleanliness of the warehouse.
  • Assigns job numbers and enters information in NOW Courier computer system.
  • Labels parts and places in appropriate shelf/bin space.
Supervisory Responsibilities: This job has no supervisory responsibilities.
Requirements

Education and/or Experience: Associate's degree (A.A.) or equivalent from a two year college or technical school and three years of related experience and/or training; or equivalent combination of education and experience. Previous clerical experience is required. Previous experience working in the logistics and distribution industry is desired.

Specific vision abilities required by this job include close vision (clear vision at 20 inches or less), distance vision (clear vision at 20 feet or more), color vision (ability to identify and distinguish colors), peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point), depth perception (three-dimensional vision, ability to judge distances and spatial relationships), and the ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).

While performing the duties of this job, the employee occasionally is exposed to working near moving mechanical parts, the risk of electrical shock and outdoor weather conditions. The noise level in the work environment is usually quiet to moderate. This role is required to be on-site.
While the offices of company are open from 8AM to 5PM, Monday through Friday, this job will require work beyond these hours which may include weekends and holidays. Periodic travel may be required in-town. It also may require occasional domestic travel. Thus, a valid driver’s license is required.
