About Us: Precision oncology is becoming standard of care, and as a result, harvesting sufficient biopsy tissue for diagnosis and molecular testing is critically important. Ruby Robotics uses a custom-built instrument and AI to autonomously prepare, image and analyze tissue during biopsy procedures. The founders are Stanford/MIT alumni with experience founding and building successful medical robotics and device companies. We are funded by healthcare and deep tech VCs and moving quickly, with a shared goal of positively impacting cancer patient care.
About This Opportunity: Our rapidly growing medical device startup is seeking an experienced and detail-oriented Office Manager to help manage daily operations in our office. The successful candidate will be responsible for ensuring the smooth running of our administrative tasks, facilities, and systems, and will provide critical support to our team. 20 hours per week with a flexible schedule. Though the position can be remote, 1-2 days on-site in the Ruby office in San Mateo each week is preferred.
Responsibilities
- Support HR functions such as onboarding, recruiting, payroll, and benefits administration
- Oversee the day-to-day operations of the office
- Make travel, conference, and event arrangements
- Maintain and update company records, including employee files and contracts
- Act as a point of contact for external service providers such as building, IT support, cleaning, and maintenance
- Maintain and monitor office systems, procedures, policies, and budget
- Handle confidential and sensitive information with discretion
- Manage inventory and restock office and lab supplies
- Assist with scheduling meetings and managing calendar appointments
Qualifications
- Excellent communication and interpersonal abilities
- Proven ability to manage multiple projects and deadlines simultaneously
- 3+ years of experience in office management, preferably in a startup or medical device company
- Knowledge of HR processes and procedures
- Experience with budget management and financial reporting preferred
- Strong organizational skills and ability to work independently in a fast-paced environment
- Proficient in Microsoft Word and Excel, Gmail, Google Calendar
- Experience working in a medical device or healthcare-related industry preferred
