Job Description

Do you have office management/Microsoft Office Suite experience?


On behalf of our client, we are looking for an exceptional, proactive, and organized Office Manager to support office operations at our client's headquarters in Playa Vista. Ideal candidates will have prior experience supporting a fast-paced office and understand how to operate effectively with a high degree of autonomy. This is a perfect opportunity for someone who is internally motivated to provide high-quality support, find ways to improve office operations, and be a part of a rapidly evolving, intellectually exciting environment.


Qualified candidates are eager to tackle projects big and small Monday through Friday at our well-appointed office in Playa Vista, CA. This is a full-time in person position.


Responsibilities

● Manage office operations, including vendors, visitors, and related logistics

● Manage vendor relationships, including negotiating rates and contracts

● Ensure a personal, friendly experience for employees and visitors alike

● Manage guest log, ensuring all visitors are compliant with building security procedures

● Serve as the first point of contact for inbound calls and guests arriving to the office

● Create and maintain processes and checklists for office management tasks

● Maintain efficient office operations, monitoring office supplies and placing orders when needed

● Ensure equipment is functional, and related needs are anticipated proactively

● Ensure common areas, including conference rooms and kitchen, are neat, presentable, and stocked appropriately

● Provide related administrative support, including maintaining conference room schedules, floor plans, and directories

Qualifications

● Strong time management and people skills, flexibility, and multitasking ability

● Has a positive, helpful, and friendly disposition; builds and maintains collaborative, productive relationships with all teammates

● Highly organized with strict attention to detail and excellent follow-through

● Excellent verbal and written communication skills; strong telephone and email etiquette

● Proactive self-starter, able to work proactively and autonomously

● Maintains a professional personal presentation, representative of work environment

● Able to adapt and prioritize according to evolving needs

● Strict confidentiality always with all materials, matters and records

● High proficiency in Microsoft Office Suite, Google Suite, Zoom, Slack, and other office productivity tools, with aptitude and interest to learn new software and systems as needed

● Ability to stand, bend, kneel, lift (up to 30 pounds, as necessary), and sit for extended periods of time, required

● Minimum two years’ experience in a similar role, required

● Prior experience in finance, entertainment, or legal, preferred

● Bachelor’s degree, preferred
