We are seeking a high energy Office Manager to work closely with Lightmatter team members to deliver upon Lightmatter’s vision & mission. In this role, you will be responsible for ensuring a top notch employee experience in the office and for supporting the growth of Lightmatter’s operations.


Success in this position requires the ability to operate in a fast-paced startup environment, outstanding communication skills, self-motivation, sound judgment, problem solving skills, and the ability to partner with employees across all functions and levels of the company. Your focus on operational excellence and passion for employee engagement are critical to team productivity and Lightmatter’s overall success.


Responsibilities

  • Responsible for day-to-day operations of the facility, including managing building access, resolving any office space issues including connectivity, managing third party vendors etc.
  • Negotiate the best rates for food and office supply orders, ensuring costs are within budget and office is ies so that we are always fully stocked
  • Organize team events and social gatherings
  • Participate in cross-functional projects, including supporting Finance, Operations, Recruiting, IT, Supply Chain, etc., filling gaps where needed
  • Provide backup support to CEO’s Administrative Assistant, and administrative support to other company executives as required
  • Promote the professional appearance of Lightmatter’s office, ensuring it is always tidy and organized, particularly the common spaces. Create an engaging and comfortable environment for employees in the office
  • Supervise the maintenance of office equipment, including copier, printer, etc, and coordinate with IT support on all office IT issues
  • Take ownership of projects, including new office space set-up, build-outs or reconfiguration, seating assignments, etc.
  • Work closely with the People Operations team on planning and execution of employee engagement initiatives.
  • Help with the setup of new employees, ensuring their equipment, desk, and swag are properly sent or set up prior to their first day of work
  • Greet guests and visitors, and handle mail, FedEx, and UPS deliveries


Requirements

  • Excellent time management skills and ability to multitask, prioritize work and be adaptable
  • Adept at using Excel and G-Suite programs such as Google Sheets, Slides, Docs and organizing Google Drive Folders.
  • Knowledge of basic human resources and accounting practices and procedures is a plus
  • Strong interpersonal and communication skills
  • 3+ years of office management or administrative assistant experience
  • Attention to detail and strong problem-solving skills are a must

Base Compensation Range: $75,000 - $90,000. In accordance with the Colorado, California and New York law, the range provided is Lightmatter's reasonable estimate of the compensation for this role. Actual pay will be based on several factors including work experience, location and education.
