Resilience Lab: Your Therapy Team
Opportunity:
We are seeking an Office Manager to oversee our current and future office operations in New York and across the tri-state area for Resilience Lab. This role will include many functions which are essential to the company’s success and the care of many patients who are seen in-person. The role is clinician and client-facing and ultimately, it is their responsibility to maximize optimization of the office space while creating processes to scale.
Responsibilities:
Create a welcoming environment for both clinicians and client;
Supply and restock snacks, waters, teas, coffees, etc;
Optimize office usage through SKEDDA, our scheduling system;
Ensure clinicians are following office procedures and help remedy scheduling conflicts;
Create and document processes pertinent to the office space;
Receive, sort, and distribute mail and/of faxes accordingly;
Maintain and organize office furniture, equipment, and supplies as necessary;
Help RL Managers with hosting of events in office;
Update Launchpad with most recent office procedures;
Collaborate with Clinical Operations to welcome new clinicians to the office;
Fulfill all business card requests. Ensure positive relationship with building management.
Requirements:
Organization and Time Management: need to be highly organized to handle various administrative tasks, a complex master schedule, and deadlines efficiently;
Communication Skills: strong and warm communication skills with the ability to interact with clients and clinicians of all ages;
Problem Solving: the ability to problem solve on your own and ability to document and communicate the situation;
Technology Proficiency: in google software, google mail, document management tools, and other relevant technologies (ie: SKEDDA);
Confidentiality and Professionalism: deal with sensitive information and maintaining confidentiality and professionalism at all times;
Must be in NY and able to be in the office 3-5 days/week.
Qualifications:
Comfortable working at a fast-paced, early-stage startup with an aggressive growth strategy to scale the company;
Ability to work independently as part of a hybrid working environment;
Ability to prioritize corporate objectives while balancing the needs of various stakeholders in the organization;
Strong independent skills, interpersonal and communication skills, and ability to work effectively with a range of diverse groups;
Ability to handle confidential and sensitive information mindfully and effectively Excellent organizational and time management skills
Ability to alter between detail-oriented and big-picture thinking depending on the task;
Ability to gather and analyze statistical data and generate reports to inform decision-making and problem solving Ability to learn and adapt to new technologies quickly and easily;
