Primary Function/General Purpose of Position
The office coordinator handles staff and physician concerns under the discretion of the Manager/Administrator. The office coordinator assists the Manager/Administrator as assigned.
Minimum Required Qualifications: The following qualifications are the minimum requirements necessary to adequately perform this job. However, any equivalent combination of experience, education and training which provides the necessary knowledge, skills and abilities would be acceptable, subject to any legal and/or regulatory requirements.
Education:
High School Diploma or equivalent
Experience:
One year medical office experience preferred
Essential Job Functions:
- Handles all maintenance contracts for office equipment.
- Safety policy and procedures for the practice, HIPAA, and other misc. requirements for staff and physicians.
- Handles staff and physician concerns under the direction of the Practice Manager.
- Responsible in assisting the Practice Manager with monthly reports and keeping the vis wall current with report data.
- Works daily work queues and in-basket messages.
- Coordinates with the Practice Manager employee evaluations as well as monthly one on one meetings for the Front Office staff
- Orders monthly supplies in addition to the practice business cards, marketing materials, and advertisements for marketing purpose.
- Coordinates employee social functions.
- Maintains the front office employee schedules and time off request.
- Assist in editing, adding and/or blocking the provider/resource schedule templates in EPIC.
- Completes the daily batches to prepare the bank deposit as needed.
- Reports directly to Practice Manager.
- Orders audio conference/educational materials.
- Obtains the OB Benefits and/or prior authorizations for Obstetric patients.
- Assists Practice Manager with special projects as assigned.
- Orients new staff to the practice to include instruction on Upstate OB GYN and St. Francis policies and procedures.
- Creates and maintains job addendums for all front office staff.
Other Job Functions Adheres to Bon Secours and St. Francis Health System rules, regulations, and polices. Performs other duties as assigned. Assists and supports other departments when needed. Role models professional behaviors, approaches and attitudes at all times – particularly in stressful and conflicting situations. Consistently presents a professional image for St. Francis Physician Services.
