Job Description

Our client is seeking a highly skilled and experienced Executive Assistant to join their prestigious financial firm. The Executive Assistant will provide comprehensive administrative support to senior executives and contribute to the overall efficiency and effectiveness of the organization. The ideal candidate must possess exceptional organizational and communication skills, excellent attention to detail, and a proven ability to handle confidential information with the utmost discretion. This role requires a minimum of 5-7 years of relevant experience in executive support within the financial industry.


Responsibilities:

  • Manage and maintain confidential and sensitive information, ensuring proper filing, organization, and retrieval of documents, records, and reports.
  • Monitor and track executive expenses, prepare expense reports, reconcile credit card statements, and process invoices and reimbursements accurately and in a timely manner.
  • Develop and maintain positive relationships with key stakeholders, including clients, vendors, and other team members, to ensure smooth operations and effective collaboration.
  • Plan, organize, and coordinate executive-level meetings, conferences, and events, including logistics, agenda preparation, presentation materials, and follow-up actions.
  • Coordinate domestic and international travel arrangements for executives, including flights, accommodations, transportation, and visa processing, while considering cost-efficiency and time optimization.
  • Efficiently manage and maintain executive calendars, including scheduling appointments, meetings, and travel arrangements, while ensuring accuracy, timeliness, and conflict resolution.
  • Assist with various special projects, research assignments, and ad hoc tasks as assigned by the executives, demonstrating flexibility and adaptability to changing priorities.
  • Facilitate effective communication between executives, clients, employees, and external stakeholders, including drafting emails, memos, and other written correspondence on behalf of the executives.


Qualifications and Experience:

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably within the financial industry.
  • Strong organizational and multitasking abilities, with exceptional attention to detail and accuracy.
  • Bachelor's degree in business administration, finance, or a related field is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
