Job Description
Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, consisting of 21 museums and galleries, the National Zoological Park, nine research facilities and the Smithsonian Libraries. The National Portrait Gallery is devoted to the acquisition, research, exhibition, and care of the portraits of individuals who have made significant contributions to U.S. history and culture. Responsibilities As a Management Support Specialist, you will need to perform tasks in procurement assistance, financial management, and other general administrative tasks in support of Finance and Operations and NPG staff. In this position, you will: Review and correct procurement actions, prepares documentation, records actions and financial transaction data into databases and spreadsheets, and create, organize, and maintain procurement training materials. Work with NPG staff and Office of Contracting to identify requirements and implement procurement solutions, and identify data errors and generate service requests or other documents to make corrections. Record procurement transactions in financial databases or spreadsheets, and monitor progress of vendor invoices, and analyze system holds and “match exceptions” and resolve discrepancies to achieve timely payment of disbursements. Produce reports on historical budget information and correspond with staff in multiple Smithsonian offices and external vendors. Qualifications Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position, specialized experience is defined as assembling and completing purchase documentation, researching organizational policies for procurement methods, using spreadsheet software to record financial information, and using web-based tools to prepare travel reimbursement vouchers. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience.
