Job Description
Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo—shaping the future by preserving heritage, discovering new knowledge, and sharing our resources with the world. The National Museum of African American History and Culture (NMAAHC) is a national museum for the study and exhibition of African American history and culture. Responsibilities The Management Support Assistant provides administrative support within NMAAHC's Office of Collections Management. In this position, you will: Determine or verify financial and other codes based on transaction, source, purposes, and program. Prepare and track forms for billing, receiving, disbursing and/or transferring funds. Respond to mail and email by compiling appropriate responses. Assist with preparation of materials such as correspondence, reports, and briefings using a variety of office software. Ensure accurate transcription, proper grammar and spelling and comply with local procedures and established guidelines. Alert supervisor, program manager and NMAAHC administrative office of funds in jeopardy of deficit or of discrepancies unresolvable. Provide staff guidance and recommendations around requirements, regulations and procedures related to administrative operations. Order a variety of goods and services using SI’s procurement system. Make travel arrangements. Schedule meetings and meeting rooms, using telephone, email, and Outlook calendaring systems. Conduct studies of clerical work processes. Provide staff guidance and recommendations around requirements, regulations and procedures related to administrative operations. Act as accountability property officer for unit. Qualifications Basic Qualification: Experience that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. In addition to the basic qualification requirement above: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-06 level in the Federal Service. For this position, specialized experience is defined as demonstrated experience procuring goods and services; supporting contract transactions; responding to verbal or written requests; making travel arrangements, creating travel authorizations and vouchers in an automated system; and researching information from a variety of sources. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week. Education There is no basic education requirement for this position. Additional Information This position is included in the bargaining unit.
