Job Description
Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, consisting of 21 museums and galleries, the National Zoological Park, nine research facilities and the Smithsonian Libraries. The Smithsonian American Art Museum (SAAM) is the nation’s first collection of American art offers an unparalleled record of the American experience, capturing the aspirations, character and imagination of the American people throughout three centuries. Responsibilities The Management Support Specialist (Procurement & Finance) is responsible for procurement and financial processing and supports the Administrative Officer and museum staff in a wide range of other management areas. In this position, you will: Ensure the effective, prompt and policy-compliant procurement of goods and services for the museum through use of purchase orders, purchase cards, online travel tools, miscellaneous reimbursement and inter-unit transfer procedures. Prepare and/or review financial documents such as inter-unit reimbursements or service requests, and verify complete and correct information and financial coding, signs or submits to AO for signature, and forward to appropriate SI office for processing. Record transactions and reconciles financial records by comparing transactions posted in multiple tracking systems (SI ERP, SAAM/Admin ‘cuff’ system, office spreadsheets or exhibition spreadsheets) to verify accuracy of entries and monitor funds expenditure. Assist Museum staff in preparing procurement documentation, including statements of work, deliverables, payment schedules, allowable travel expenses and assorted supporting documents that are situation dependent., and works with museum staff and OCON to identify requirements and implement procurement solutions for goods and services. Conditions of Employment: This position requires some lifting in order to archive files. Must be able to focus on handwritten documents and computer screens for many hours each day. Qualifications Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position, specialized experience is defined as recording financial transactions and codes; preparing or reviewing purchase orders or contracts according to the Federal Acquisition Regulations or within a similar regulations; preparing reference or training materials and advising staff on administrative procedures. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience.
