Job Description

Job Summary: We seek a skilled and dedicated Legal Administrative Assistant to join our dynamic legal team. The successful candidate will provide essential administrative support to our legal department, ensuring smooth day-to-day operations and facilitating the efficient delivery of legal services. This role requires exceptional organizational abilities, strong attention to detail, and proficiency in legal procedures. As a Legal Administrative Assistant, you will play a crucial role in supporting our legal professionals and maintaining our legal operations' overall effectiveness and professionalism.

Responsibilities:

  1. Provide administrative support: Perform various administrative tasks, including managing calendars, scheduling appointments, coordinating meetings, and organizing travel arrangements for attorneys and legal staff.
  2. Document management: Assist with drafting, proofreading, editing, and formatting legal documents, including contracts, briefs, pleadings, and correspondence. They maintained electronic and physical filing systems to ensure accurate and efficient document retrieval.
  3. Legal research: Conduct legal research and analysis using various resources, such as legal databases and online repositories, to gather information and support case preparation or legal opinions.
  4. Client communication: Serve as a point of contact for clients, responding to inquiries, providing updates, and ensuring timely and professional communication between clients and attorneys.
  5. Court filings and deadlines: Prepare and file legal documents with courts, administrative agencies, and other relevant entities. Monitor and manage case deadlines and court schedules to ensure compliance.
  6. Case management support: Assist attorneys with case management by organizing case files, maintaining case databases, and tracking case progress. Coordinate with internal departments, external vendors, and opposing counsel to facilitate case-related activities.
  7. Billing and invoicing: Assist with billing activities, including preparing invoices, tracking expenses, and coordinating billing processes with accounting personnel.
  8. Maintain confidentiality: Handle confidential and sensitive information with the utmost discretion and adhere to professional ethics and legal requirements regarding client confidentiality.
  9. Administrative tasks: Perform general administrative duties, such as answering phones, managing mail, photocopying, and maintaining office supplies.

Qualifications:

  1. Education and experience: High school diploma or equivalent is required. A certificate or associate degree in legal studies or a related field is preferred. Prior experience working as a legal administrative assistant or in a similar managerial role within a legal environment is highly desirable.
  2. Knowledge of legal procedures: Familiarity with legal terminology, court processes, and document management within a legal setting. Understanding legal research methods and resources is advantageous.
  3. Organizational skills: Excellent organizational and time management abilities to handle multiple tasks, prioritize responsibilities, and meet deadlines in a fast-paced environment.
  4. Attention to detail: Strong attention to detail and accuracy in performing tasks, proofreading documents, and managing data.
  5. Communication skills: Effective written and verbal communication skills to interact professionally with attorneys, clients, and other stakeholders. Active listening skills are essential.
  6. Technology proficiency: Proficiency in using standard office software (e.g., Microsoft Office suite) and legal software applications (e.g., case management software, legal research tools). Ability to adapt to new technologies and learn new software quickly.
  7. Professionalism and discretion: Maintain high professionalism, integrity, and confidentiality in handling sensitive information and interacting with clients and colleagues.
  8. Team player: Collaborative mindset with the ability to work effectively as part of a team, supporting attorneys and colleagues to achieve common goals.
