About The Role


The Leave of Absence ("LOA") Coordinator will report to the LOA Manager and will support the lifecycle of a LOA and assist the Benefits team with general benefits administration.


You will be an important part of the leave of absence/benefits department and communicate policies regarding any type of LOA, including Family and Medical Leave Act (FMLA), Short Term Disability (STD), Long Term Disability (LTD), State mandated Disability and Paid Family Medical Leave programs, Worker's Compensation, Military leaves, and paid/unpaid personal leaves. The LOA Coordinator creates a positive employee experience and seamless leave of absence administration.


This role is for a 2-month fixed term, with the possibility of extension into a full-time position. You can work remotely or from one of our office locations, and will be based in the US Eastern or Central time zones.


Here's What You'll Be Doing


  • Communicate with LOA third-party vendors regarding policies, billings, and employee concerns.
  • Respond to inquiries from employees who have a need for a leave; ensure that employees have eligibility information and know how to request leave and file a claim with the respective vendor for the type of leave they are looking for.
  • Monitor the third-party determination of leave and disability eligibility.
  • Communicate decisions and ongoing expectations with employees.
  • Respond to escalation and data requests, send out reports and updates regarding the status of employee's leave of absence to team contacts.
  • Schedule calls and meetings with employees, Managers and HR Partners to provide a positive and informed experience.
  • Partner with payroll to ensure employees on leave or returning from leave are paid correctly, including the audit and reconciliation of benefit deductions related to employees on leave.
  • Administer and support all daily aspects of the leave of absence programs, which will include monitoring and tracking leaves of absence.
  • Responsible for the inputting and maintenance of worker's compensation claims into the third-party vendor database.
  • Work with employees on leave to facilitate smooth return to work.
  • Maintain knowledge of federal and state leave laws and ADA regulations.
  • Ensure that employees are aware of their responsibilities and of any documentation and notice that is required to qualify to take a leave.


About You


  • The ability to work with people in sensitive situations with empathy, objectivity, and respect.
  • 3+ years of experience delivering a high volume of leaves of absence while delivering excellent client service to employees.
  • Can maintain confidentiality of protected and sensitive data and ensure compliance with HIPAA.
  • Working knowledge of state mandated and private disability and family leave programs and regulations, ADA, workers compensation, and federal and state FMLA policies.
  • Ability to prioritize effectively, while recognizing complex situations and when there is a need to escalate for resolution.
  • Proficient with Microsoft Office and HRIS systems (Workday)

The base salary range represents the low and high end of the salary range for this position. This range may differ based on your experience and skill set, geographic location, and cost of living considerations.
