Job Summary

Position Description
Project Management: Oversees operations for a ~25 member laboratory research group, under broad direction of a faculty principal investigator. Principal contact for sponsoring agencies and as source of HU/FAS policies and procedures for faculty, staff, and affiliates of the lab. Takes lead in developing, planning, and setting up new lab spaces. Oversees use of lab space, facilities, and IT support as pertains to individual projects. Provides support and assistance to research staff for all aspects of project planning/management, including assisting the researchers in finding the materials/supplies to conduct the work; ensuring all lab equipment is functional. As needed, monitors lab safety, including tracking of chemicals and hazardous materials and enforcing PPE policy as well as ensuring all researchers receive proper safety training and follow lab procedures as it relates to their specific research, in partnership with research staff. Obtains necessary materials for projects by completing Material Transfer Agreements, negotiating with vendors, and working with Harvard Facilities to obtain sufficient space for research. Providing administrative support to track lab notebooks and research data to ensure all patentable research is clearly documented, to write standard operating procedures for the lab, and to coordinate progress reports for funding agencies.
Administrative Duties: Manages all administrative operations for the research group. Supervises non-exempt staff and delegates work when necessary. Manages large, complex portfolio of grants, and all non-sponsored funds including HHMI. Responsible for pre-award grant development and for meeting grant submission and reporting deadlines. Approves all expenditures, allocates/reallocates expenses, in compliance with sponsored budgets and HU policies. Manages non-sponsored funds. Designs administrative systems. Creates complex financial reports and projections. Responsible for effort reporting and compliance. Oversees general IT support for the lab. Responsible for administrative functions of supporting PI: travel arrangements, calendar, reimbursements, letter writing, and more. Performs other responsibilities as required.
Basic Qualifications
College degree, a minimum of 3 administrative years experience in university or research setting, and federal grant and contract management experience required.
Additional Qualifications and Skills
Administrative, supervisory, and budget experience are essential. Excellent time management, organizational, problem solving, and analytical skills. Demonstrated Superior written and verbal communication and math skills with keen attention to detail. Demonstrated proficiency in MS Office Suite.
Physical Requirements
- Sitting using near vision use for reading and computer use for extended periods of time
- Lifting (approximately 20 to 30 pounds), bending, and other physical exertion
Working Conditions
This is a hybrid position with an office located on campus in Cambridge, MA. This position is required to work in-person on campus four days per week during the 90-day orientation and review period, and thereafter a minimum of three days per week. Specific days and schedule will be determined between the employee and their manager.
