Job Purpose/Overview


At Lavazza North America, the HR Assistant is responsible for the effective delivery and support of all employee and talent-related operational activities across HR. The role will focus in the areas of Talent Acquisition and Candidate Care, HRIS, Reporting & Analytics, & Learning & Development.


Location: West Chester, PA


Key Responsibilities


  • Ensure compliance of all I-9 Employment Eligibility Verifications.
  • All other activities, tasks, project work and responsibilities as assigned
  • Provide exceptional customer service to internal clients (managers, employees) and candidates by efficiently and effectively answering questions, providing them with accurate information and/or sound advice within defined timelines.
  • Balance day-to-day responsibilities with key project work and professional development opportunities.
  • Act as the main point of contact for onboarding (post-offer, pre-hire) to ensure all necessary actions are taken prior to the start date – maintain trackers, process the new hire record, collaborate with internal teams (payroll, background screening, immigration), etc.
  • Lead HR events and communications such as orientation and management of intranet content.
  • Assist the Sr. Manager of L&D with special projects and new initiatives.
  • Partner with HR colleagues to drive efficiencies and leverage best practices.
  • Maintain communication with candidates and managers throughout the entire pre-onboarding & onboarding process.
  • Generate, track and analyze confidential HR data, and create reports that provide insight into key data points to establish and drive progress with the Center’s priorities and initiatives. Utilize various tools to provide data that is presentation ready and can tell a story.
  • Help to identify and drive process improvement and standardization opportunities to provide an exceptional employee/candidate experience, identify areas for automation and reduction of risk.
  • Data entry and maintenance of our HRIS (Success Factors), including full employee lifecycle transactions.
  • Track and maintain all pre-hire employment documents.


Job Specifications/Qualifications


  • Knowledge of database management software
  • Confidentiality, diplomacy, and responsiveness
  • Detailed oriented and excellent organizational skills
  • Ability to handle multiple projects and candidates simultaneously under minimal supervision
  • 3-5 years of related HR experience or equivalent combination of education and experience required
  • Ability to work under pressure, adjust to constant changes, and handle multiple tasks
  • Excellent written, oral, verbal, and listening communication skills
  • Four-year college degree from an accredited institution in HR, Business Management, or related discipline required
  • Ability to perform in a fast-paced, changing environment
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Ability to handle and maintain confidential and sensitive information with respect
  • Strong verbal, organizational, and interpersonal skills
