The 900+ positions of the Facilities Division service the students and staff of the University’s teaching, research/administrative space and 2, 240 acres of infrastructure. The Facilities Division provides design and building services, maintenance, custodial, landscape, solid waste removal, utility, mail, and motor pool services 24 hours a day, 365 days a year. The goal is to deliver cost effective services to the University, ensure completed projects and maintenance that conform to codes and regulations, while minimizing University liabilities and disruptions caused by the maintenance, repair, building, and equipment modifications to the University.

Essential Job Duties
This position serves as the HR Administrative Assistant for the Facilities Division in the Facilities Human Resources Department (FHR). This position is the first point of contact for the FHR office. The HR Administrative Assistant will also be responsible for assisting and directing outside vendors and visitors while providing administrative support for the Facilities’ HR Director, HR Supervisor, and other FHR staff in a variety of personnel matters. Other responsibilities include database management and generating reports as needed. The HR Admin Assistant will facilitate the Recognition/Service Awards program. This position will also provide administrative support for the training program through tracking and monitoring standardized reports. This position provides administrative support for the safety shoe program. Additionally, this position performs the general office duties of copying, filing, ordering supplies, answering the phone, and directing visitors.

Qualifications

Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications
  • Must have knowledge of HRIM, Microsoft Office, and Google Suite.
  • Must be able to prioritize.
  • Must be able to work in a fast-paced environment and multi-task.
  • Must have the ability to direct and address the concerns of diverse audiences and communicate effectively verbally and in writing.
  • Must be able to maintain confidentiality.

Preferred Qualifications
Previous experience in a busy human resources office environment.
Human Resources office experience preferred.
