Highlights
Position Title: HR Admin Assistant
Location: 5700 Almaden Expressway, San Jose, CA
Duration: 960 hours
Work Schedule: Full Time
Responsibilities for this position include, but are not limited to:
  • 7. Screen and direct visitors and telephone calls as appropriate; respond to and resolve internal and external inquiries, complaints and/or requests for information on a variety of topics, such as District policies and procedures relating to assigned responsibilities.
  • 3. Compose, type and proofread a wide variety of documents, including agendas, reports, memoranda, and statistical charts; type from rough draft or verbal instruction; review materials for completeness, accuracy, format, and compliance with policies and procedures; initiate correspondence for appropriate signature.
  • 1. Maintain a calendar of activities, meetings, and various events for the HR deputy officer; meeting coordination according to established policies and procedures.
  • 2. Administratively assist in a variety of divisional and program operations; plan, coordinate, oversee, monitor, and may participate in special projects and assignments.
  • 4. Research, compile and organize a variety of informational and/or confidential materials from sources on a variety of topics related to projects or programs.
  • To perform a variety of administrative duties in support of Human Resources deputy officer; including planning, organizing, and overseeing the operations and functions of the assigned office; to relieve management staff of administrative detail and day-to-day duties; to provide information and assistance to the public regarding District policies and procedures; and to perform a variety of tasks relative to the assigned areas of responsibility.
  • 5. Attend a variety of meetings, prepare, and distribute agendas and informational packets for assigned meetings; record and distribute minutes or notes of meetings; track action items to ensure completion.
  • 6. Organize and maintain various administrative, rosters, org charts, printed and electronic records and files; purge files as needed; prepare various documents for record retention.

  • Understand the District operations, policies and procedures as necessary to assume assigned responsibilities.
  • Communicate clearly and concisely, both orally and in writing.
  • Maintain and update records and files. Respond to requests and inquiries from the general public, external agencies, vendors, contractors, and District staff.
  • Organize and prioritize a variety of projects to meet established deadlines.
  • Maintain confidentiality and be discreet in handling and processing confidential information and data. Perform responsible administrative work involving the use of independent judgment and personal initiative.
