Position Summary:
The Manager, Medical Affairs Operations, will support the Executive Director, Medical Affairs Excellence & Strategic Operations in managing the Medical Affairs department's core functions, with a focus on contract management, budget oversight, and administration of Grants and Independent Research/Evidence Generation committees within Global Medical Affairs. This position will also contribute to the strategic planning, operations, and other activities related to the pipeline and established products assets.
Responsibilities:

Contract and Vendor Management
  • Advisory Board Management: Collaborate with Medical Affairs colleagues to ensure timely execution of agreements for Medical Affairs advisory boards and other consulting meetings.
  • Responsible for invoice management and tracking within Global Medical Affairs.
  • Responsible for vendor onboarding responsibilities within Global Medical Affairs, establishing relationships with vendor contacts, and following up with vendors regarding contracts, invoices, and other outstanding communication needs.
  • Responsible for working with vendors to draft, review and negotiate (with minimal supervision) a wide variety of agreements, including confidentiality agreements, consulting agreements, master services agreements, SOWs, vendor and service contracts.
  • Oversee Medical Affairs related Sunshine Payments and Reporting
  • Ensures team is meeting all SOP and legal/compliance requirements.
  • Responsible for preparing and processing contracts for Medical Affairs teams, and tracking related deliverables as needed.
  • Candidate will be required to complete training for self-serve contract processing upon hire.
  • Partner cross-functionally to support the development of contracting approaches for evolving business strategies.
  • Develop and implement contract tracking and vendor management best practices within Global Medical Affairs and in partnership with Legal and Strategic Procurement groups.

Budget Management
  • Responsible for invoice tracking and monthly budget reconciliation.
  • Drives urgency around resource utilization within GMA.
  • Serves as day-to-day budget expert for GMA functions.
  • Communicates budgetary needs to GMA functions.
Departmental Communications
  • Facilitates the creation of the monthly Global Medical Affairs report.
  • Drafts departmental communications from GMA leadership for distribution within the company.
  • Facilitates the creation and guides the content of GMA Townhall presentations.
  • Drives any other communication needs or tools for Global Medical Affairs.
  • Serves as communications lead for Global Medical Affairs for inter- and intra-departmental needs.

Grants and Independent Research Administration
  • Serve as Grants Administrator, ensuring that grants are approved and paid compliantly while adhering to the allotted grants budget for the fiscal year.
  • Serve as owner of Cybergrants for Global Medical Affairs
  • This position would be responsible for running the Grant Review Committee, Evidence Generation Committee, and the review of independent research as it is submitted.
  • Schedule, distribute materials, and facilitate the various committees within Global Medical Affairs

Support and Collaboration
  • Serve as internal subject matter expert for financial operations and GMA contracting, training employees on HCP engagement process/SOPs/systems as needed.
  • Work closely with the Executive Director to support Medical Affairs teams in delivering high-quality work products and value-add services.
  • Support the overall Medical Affairs Operations and Excellence team, providing back-up support to colleagues when necessary.
  • Participate in special projects and successfully drive change with the organization as needed.
Education/Experience Requirements:
  • Bachelor's degree in related field. Advanced degree preferred. Equivalent combination of education and applicable job experience may be considered.
  • 5+ years of experience within biotech and/or pharmaceutical industry.
  • Experience in executing large, cross-functional initiatives using a project management framework within business operations.

  • Well organized with the ability to multitask, prioritize, and manage shifting responsibilities in a dynamic, cross-functional teamwork environment.
  • Willingness to travel (approximately 10-20%).
  • Ability to work effectively in a matrix organization and collaborate with team members and management.
  • Intermediate to advanced competency and experience with a variety of computer applications, including Microsoft Suite, MS Project, SharePoint, and/or other related project management tools.

  • Demonstrated ability to develop and maintain effective collaborative relationships with team members, management, and internal/external partners.

Target Base Pay Range:
$111,700.00 - $145,000.00
