Job Description
We are seeking a dedicated and customer-oriented Front Office Assistant to join our team. As the first point of contact for our organization, you will play a vital role in providing exceptional customer service and creating a positive and welcoming atmosphere for all visitors and guests.


Responsibilities


Greeting and Welcoming:


  • Provide accurate information about the company's services, products, and facilities.
  • Welcome visitors, guests, and clients with a warm and friendly demeanor.
  • Ensure a professional and courteous reception experience for all individuals entering the premises.


Administrative Support


  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Maintain an organized front desk area, ensuring it remains tidy and well-stocked.
  • Manage incoming calls, directing them to the appropriate personnel and departments.


Appointment Scheduling


  • Maintain and update appointment calendars, ensuring accuracy and minimizing scheduling conflicts.
  • Coordinate and schedule appointments for clients and visitors with relevant staff members.


Communication And Correspondence


  • Assist in preparing and distributing internal and external communications as needed.
  • Respond to inquiries via phone, email, and in-person, providing accurate and helpful information.


Problem Resolution


  • Escalate more complex inquiries to the appropriate department or personnel.
  • Address and resolve minor issues, concerns, or questions from visitors to the best of your ability.


Qualifications


  • Excellent organizational and multitasking abilities, with a keen eye for detail.
  • High school diploma or equivalent; additional certifications in office management or customer service is a plus.
  • Exceptional interpersonal skills and a customer-centric approach.
  • Ability to remain calm under pressure and handle challenging situations with patience.
  • Strong communication skills, both verbal and written, with a professional and polite demeanor.
  • Proficiency in using office software and equipment.
