Job Description
Harbor Health is looking for a talented Front Desk Lead to become a member of our team! Harbor Health is an entirely new multi-specialty clinic group in Austin, TX utilizing a modern approach to co-create health with those who get, give, and pay for it, allowing everyone to fully flourish. The Front Desk Lead is responsible for interacting with guests in a healthcare setting and managing administrative tasks for the medical team. They will act as a Lead and mentor for other Front Desk Specialists by providing training and ongoing support. Along with Front Desk Lead responsibilities, they will also perform the duties of a Front Desk Specialist.


Our Front Desk Lead will be responsible for:


  • Maintaining office inventory and equipment by anticipating supply needs and expediting supply orders
  • Providing conflict resolution and respond to member grievances
  • Delegating tasks to the front office employees for efficiency
  • Collecting and posting member payments; prepare deposits and follow established cash handling procedures; ensuring deposits and petty cash are counted are locked in safe daily
  • Providing initial customer service to all members including but not limited to, greeting members, scheduling, and confirming member appointments using a multi-line phone, performing data entry into the electronic medical record system for member information, and creating member files
  • Developing Standard Operating Procedures with approval by management staff
  • Developing and updating competencies and skill review forms and performing all skills reviews with employees within 30 days of hire date.
  • Creating scripting for the registration process
  • Creating and organizing all the front office Shared Drive information
  • Floating to other facilities as needed and/or required
  • Facilitating member check-in and check-out, notifying providers of member arrivals, answering or properly route member questions to appropriate staff
  • De-escalating problems or issues that arise within the clinic or managing it up to leadership
  • Providing communication updates from the leadership team to front desk staff
  • Creating and maintaining confidential member files and records, along with verifying financial records and collecting member charges while filing and expediting third-party claims
  • Providing updates on policy and procedures pertaining to the front desk
  • Overseeing the regional front desk staff; participating in the selection, hiring and performance management of front desk staff
  • Creating and updating all training materials within the team share drive folder and training all new front desk operation staff and/or Lead Front Desk team members


Successful Front Desk Leads will have:


  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Gmail)
  • Excellent analytical and problem-solving skills
  • 3 years of experience working in a medical office or healthcare setting
  • Strong interpersonal and communication skills to effectively communicate with Providers, other medical professionals, office personnel employees and members
  • Strong organizational and time management skills
  • High school diploma or GED


Additional Skills & Experiences Preferred include:


  • Prior experience leading and/or training others
  • Prior customer support experience
  • Bilingual English/Spanish language skills
