Job Description
The Finance Project Manager's primary responsibility is to serve as the Project Manager for CFO divisional projects as assigned. They will represent the division at cross functional project meetings as assigned and serves as point of contact for the CFO office to ensure superior service and responsiveness to external and internal inquiries. They will perform a variety of multi-faceted, confidential functions in support of the CFO and deputy CFO including preparation of board presentations and assistance with budget development. The Finance Project Manager will assist the Controller with the year end audit workpapers. They are responsible for working with event coordinators to obtain liquor permits and facility/service contracts, and will provide superior customer service and support to all divisions, students, trustees and other users of financial services.


Responsibilities
  • Performs physical inventory of capitalized equipment.
  • Other duties as assigned.
  • Maintaining the day-to-day activities of Saxon Inn Inc. – filing for special permits, invoicing events, reconciling fund, processing annual license renewals, annual inventory count
  • Setup & maintain finance related forms
  • Proof and edit minutes from meetings; ensure approved minutes are forwarded to the President’s Office
  • Maintain Business Office and VPBF Websites
  • Project implementation for specific projects as assigned.
  • Organize and create files, managing filing system both electronic and in paper form. Manage the record retention/policy retention procedures
  • Performs project manager duties for various implementations as assigned such as developing and maintaining project timelines and task assignments, monitoring and recording progress and milestones, identifying and reporting resource issues so that leadership can react quickly to keep projects on time and under budget, and building information for projects as needed.
  • VPBF Office Specific
  • Field general requests for Certificates of Insurance and issue accordingly.
  • Cross-train with Business Office positions to function as backup and other duties as assigned
  • General Division
  • Serves a point of contact for CFO office ensuring superior customer service to all constituents.
  • Prepare insurance renewal documents
  • Prepare Board related communications and meeting prep for four (4) Committees: Audit, Investment, Finance, Facilities & Grounds
  • Reconcile Business & Finance credit card: approval of all charges, attaching receipts to statements electronically and submitting
  • Maintain official divisional organizational chart; update and distribute as necessary
  • Prepare facility or event contracts for signature by CFO; manage requests, mailings and submissions of signed documents


Requirements
  • Machines: Fax, Copier, and Calculator.
  • Experience: 5-years of accounting or project management experience preferred.
  • Formal Education: Bachelor’s Degree in Accounting/Business required; MBA degree preferred.
  • Additional Knowledge/Skills: Work/school records would confirm the existence of superior skills or attributes in the following areas: sound judgment, discretion, dependability, organizational and interpersonal skills, professional work output, energy and enthusiasm, ability to interact with all levels of the AU community and constituents, diplomacy, initiative, function independently with only occasional review and direction. Candidate must possess the ability to multi-task in a fast-paced, open office environment and prioritize. Position requires the strictest level of confidentiality.
  • Knowledge: Accounting, SCT Banner or similar database, proficiency in Microsoft Office (Word, Excel, Outlook, Power Point)
