POSITION TITLE:
Family Office Financial Assistant
POSITION SUMMARY:
The Family Office Financial Assistant provides high-level support as needed by both the CEO and President of the firm which includes all BMC matters, Non- BMC investments, and personal financial management. The individual must be able to exercise independent judgment and discretion while working with highly confidential information. They must be able to prioritize and manage multiple projects simultaneously with little or no supervision.
ESSENTIAL JOB FUNCTIONS:
- File quarterly, annual, and estimated tax payments
- Coordination and payment of personal, business, property, and vehicle insurance coverages
- Maintain corporate records and update estate planning documents
- Cash movement and planning
- Manage and organize tax records and receipts
- Accounting and financial reporting
- Basic financial reporting for non-BMC companies and investments
- Payment of bills
- Coordination of tax forecasting, planning and preparation with tax professionals
- Interaction with internal and external executives and assistants to schedule a variety of business meetings
- Capital Calls
- Accounting for farm operations
- Manages business and personal calendars, travel schedules and business and household support
- Check reconciliation
- Financial transaction support for multiple executives to include some or a combination of the following:
- Assist with estate planning and proper titling of trust assets
§ Interact with investment advisors/tax/legal etc.
o Investment tracking and reporting
- Maintaining Goals and Objectives
- Provide HR assistance for BMC and Non-BMC companies to include:
- Performs other duties as assigned
- Manage compensation records
- Maintain entity corporate records
- Provide light administrative support which could include event coordination and planning
- Maintain performance review materials.
- LLC Management with Legal Counsel (non-BMC)
QUALIFICATIONS:
Required:
- Proficient in Microsoft Office, specifically Excel, Word, and PowerPoint
- Previous experience providing support to the C-Suite
- Good judgement, discretion, and confidentiality
- Excellent writing, proofreading, and editing skills
- High level financial and tax knowledge
- Curiosity and willingness to learn and grow
- Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the Executives and the Company to outside parties
- Willingness and ability to travel as needed (less than 15% of time)
- Strong organizational, project management, problem-solving skills, and excellent multi-tasking abilities
- Associate degree required; Bachelor’s degree preferred (emphasis in accounting or finance)
- Valid Driver’s License and safe driving record
