Job Description
Facilities Assistant Manager - FT 40 hrs. per wk.

Department: Facilities
Reports To: Facilities Manager
FLSA Status: Exempt
Salary Level: $31.00 to $45.50 / hr.

Summary: This position is responsible for assisting in maintaining a safe, organized and productive facilities department. Supporting the Facilities Manager by providing supervision to Facilities Department clerks at Sierra College Drive and Rock Creek Auburn. To improve the flow of operations, cleanliness of all store areas and maintain positive communication with other departments.

Essential Duties and Responsibilities: Include the following: Other duties may be assigned.

Maintenance –
  • Assist in the organization and oversight of the maintenance of the physical store: floors, roof, interior and exterior walls, exterior lighting, electrical, plumbing, etc.
  • Coordinate with janitorial staff and assume responsibility for overall store cleanliness
  • Keep tools and repair parts organized and on hand in good condition
  • Ensure the Co-op facility common areas are kept clean and orderly at all times.
  • Maintain electronic records of equipment purchased and installation and/ or work performed to help ensure institutional memory
  • Understand the basics of major outside contracts (HVAC, electrical, plumbing, etc.)
  • Take on odd jobs and handle equipment emergencies as they arise
  • Assist in updating and follow through of the established Maintenance Schedule
  • Assist in organizing and overseeing the maintenance of all store equipment: refrigerated cases, freezers, appliances, shelving, display units, interior lighting, etc.
  • Ensure that appropriate support personnel are immediately contacted if problems outside scope of expertise arise
  • Ensure regular maintenance and cleaning of all departments is done on schedule
  • Work to support Operations departments as requested.
  • Work within budget to maintain BriarPatch grounds, facilities, and equipment in good working order
  • Assist in the organization and overseeing the maintenance of the grounds: parking lot, loading dock, trash and recycling areas, etc.
  • Undertake special projects such as in-depth cleaning jobs, repairs, painting, light carpentry, etc.

Custodial –
  • Monitor laundry and garment service, adjusting par levels as needed
  • Assist in the ongoing organization mezzanine, and other storage areas including the offsite storage, considering size, weight, and related factors of items stored;
  • Order and stock store supplies to maintain inventory par levels
  • Assist in management of the trash collection and recycling systems

Customer Service –
  • Orient and be helpful to new employees
  • Set a positive example for co-workers, and work as a team
  • Assist customers as needed, address requests and complaints
  • Develop professional relationships with service vendors, repair technicians, etc.
Personnel and Supervisory Responsibilities:
  • Coordinate cardboard baler trainings
  • Develop procedures and manuals available for all staff about Facilties.
  • Participate in department meetings
  • Assist in the assignment of duties and examine work of subordinates for exactness, neatness, efficiency, and conformance to policies and procedures
  • Ensure subordinates are informed of policy changes
  • Ensure on the job training for all employees in related Facilities tasks.
  • Maintain harmony among workers and resolves grievances
Responsibilities to Safety:
  • Report any potentially harmful equipment or situations to the immediate supervisor without delay
  • Protect the safety of self, co-workers, and BriarPatch Co-op patrons at all times.
  • Follow all company and safety policies and procedures
  • Operate equipment in a safe manner that will not lead to injury of self or others
  • Report safety-related accidents and incidents at once to supervisor
  • Keep MSDS binder updated and accessible
  • Maintain BriarPatch grounds clean and safe in any weather



Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: High school diploma or GED certificate required. Three years related experience in supervising and/or training a team; 3 to 5 years in Facilities or Maintenance work or equivalent combination of education and experience.

Language Skills:
  • Ability to speak effectively before groups of customers or employees.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
Mathematical Skills:
  • Ability to compute rate, ratio and percent.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to draw and interpret bar graphs.
Reasoning Ability:
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or electronic form.
  • Ability to solve practical and complex problems and deal with a variety of concrete variables in situations
Computer Skills: An individual should have knowledge of:
  • Inventory software
  • Internet software
  • Spreadsheet software
  • Order processing systems
  • Word Processing software

Certificates, Licenses, Registrations:
  • Forklift certification
