Job Description

The Department of Global Pediatric Medicine (GPM) is a growing department looking for professionals who are eager to help implement the St. Jude Global (SJG) mission by training the clinical workforce, developing and strengthening health systems and patient-centered initiatives, and advancing knowledge to sustain continuous improvement through research.

 The Executive Coordinator is responsible for serving as the primary administrative support person for the Chief Executive Officer, Executive Vice President or Senior Vice President at St. Jude Children's Research Hospital. Monitors and coordinates the department budget, expenses, and resources. May coordinate the grant application process. Implements and maintains processes to ensure effectiveness and efficiency of department services. Uses autonomy and discretion to handle confidential matters. Serves as the communication liaison for the executive. Plans special events and manages the Executive's calendar.

 

The Department of Global Pediatric Medicine (GPM)/St. Jude Global (SJG) at St. Jude Children’s Research Hospital (SJCRH) is seeking a talented and thoughtful professional to fill the role of Executive Coordinator for St. Jude Global Operations. The ideal candidate will have excellent written and verbal communication skills, be highly detail-oriented, and possess a demonstrated ability to be flexible and creative in a fast-paced environment.

 

The St. Jude Global Operations Executive Coordinator is responsible for:

  • Providing support for departmental leadership, including maintaining and organizing daily schedules and managing special projects and assignments
  • Ensuring alignment with departmental and institutional policies and practice
  • Coordinating and planning logistics, agendas, and scheduling for executive-sponsored in-person and online meetings and events
  • Developing and monitoring core work section and/or project budgets including organizing travel and maintaining expense reports
  • Managing multiple projects including prioritizing tasks, developing and maintaining timelines, and monitoring overall progress
  • Collaborating with other departments, programs, and cohorts internally and externally

 Skills and Abilities

  • Excellent written and verbal communication skills with an interest in creating new materials
  • Proficiency in Microsoft Office product suite with the ability to create reports and presentations
  • Effective organizational and time management skills with the ability to prioritize tasks
  • Capacity to plan and coordinate multiple projects simultaneously in a fast-paced environment
  • Cultural sensitivity is a must
  • Proven ability to be a team-player and to express ideas objectively and effectively

 

All candidates must submit a cover letter to be considered for the position.

 

  • Fluency in a second language is a plus
  • Substantial experience planning/ coordinating events including coordination and vendor management.
  • Experience Exception: Bachelor's degree and 2+ years experience in administration or related area.
  • Minimum Requirement: 8+years experience in administration or related area.
  • Substantial experience working with office technologies including Microsoft Office (Word/ Excel/ Power point etc.).
  • Substantial experience managing communication with stakeholders including senior leaders.
  • Substantial experience in document management, reporting and analysis.
