About the role:

Join Takeda as an experienced Executive Coordinator where you will provide high-level comprehensive administrative support the Vice President and Head of Strategy & Planning (S&P) for the US Business Unit. You will also manage the daily operations of the of the department and Leadership Team, including scheduling meetings, coordinating travel arrangements, assisting with projects, managing correspondence, and overseeing procurement and PO processes as a Superuser. As part of the S&P team, you will report to the VP and head and manage special projects and events as assigned by our leadership team.

How you will contribute:

  • Prepare complex expense reports and purchase orders, anticipate coding problems or issues regarding certain expenses that may negatively impact the budget, and take corrective action before processing.
  • Include pre-reads and proper meeting materials in the invites.
  • Show confidentiality in the execution of all responsibilities.
  • Review documents and proofreads work for grammar, spelling, accuracy, consistency of terms, and completeness; ensure document text and graphics adhere to corporate and organization guidelines and standards. Trained as the procurement/PO process superuser.
  • Manage the calendar, and team calendars, schedule appointments, and coordinate meetings for the VP/Head of Strategy & Planning for the USBU, preparing all necessary resources in advance.
  • Understand the US region, USBU, and the S&P structure and develop a network across departments; draw on the network to answer questions, solve problems, and execute responsibilities.
  • Manage confidential documents and correspondence, including letters, reports, emails, presentations, and memos, with the utmost discretion.
  • Be effective with autonomous decision-making with executive management direction. While making decisions, exercise greater latitude based on extensive administrative experience and knowledge of Takeda's operations, policies, and procedures.
  • Initiate, develops, leads, and participates in improvement processes; actively participates in resulting process improvements.
  • Facilitate leadership team meetings, responsible for agenda, a record of meeting minutes, and their distribution.
  • Arrange travel, complete expense reports promptly.
  • Prepare documentation for payment of vendors, consultants, and suppliers; submit documentation and enter requests for payments into the accounting system; approve transactions; respond to inquiries from accounts payable and payees.
  • Perform other duties as needed
  • Effectively prioritize and manage multiple projects with differing deadlines to successful completion for the head of the department and leadership team.
  • Be aware of meeting locations and travel time between campus locations.
  • Use appropriate tools for required work, including Microsoft Outlook, Word, Excel, and PowerPoint, to track, analyze, document, and report data.
  • Help prepare and coordinate materials for department meetings and other company events.
  • Partner with team members to help project manage specific initiatives.
  • Gather budget input; tracks and updates budget forecasts; prepare reports for the department summarizing budget status.
  • Be the primary contact for the functional organization. Model strong communication skills to engage with senior leadership members.
  • Understand priority meetings; schedule last-minute meetings.
  • Develop a network within the administrative team in Takeda to answer questions, solve problems, and execute responsibilities.
  • Schedule meetings, calls, and other interactions based on the leader's priorities and/or function. Anticipate if the meetings must be face-to-face, virtual and hybrid meetings.

What you bring to Takeda:

  • Excellent verbal and written communication skills.
  • 8 years of relevant work experience, or equivalent combination of training and experience. Some industry experience is preferred.
  • Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint.
  • High school diploma/GED required. Associates degree or bachelor’s degree preferred.
