The Technology and Corporate Responsibility (TCR) Team uses the power of data and technology to advance and protect fundamental rights to ensure that everyone is able to meaningfully participate in an increasingly digital world. Our work spans across multiple teams and disciplines, and we are seeking an executive administrative professional to support 3 of our core teams.
The Democracy Forward Initiative works globally to promote a healthy information ecosystem, safeguard open and secure democratic processes, and advocate for corporate civic responsibility.
The Microsoft Airband Initiative advances access to high-speed internet and meaningful connectivity as a fundamental right. Our ecosystem of partners have extended internet access to more than 50 million people living in unserved and underserved communities across the world.
Consistent with Microsoft’s commitment to fundamental rights, the Supply Chain Integrity Team (SCI) is accountable for Microsoft’s strategy related to supply chain due diligence standards and overseeing the implementation of the growing number of legal and regulatory requirements and societal expectations.
These three teams within TCR are seeking an experienced Executive Business Administrator to support the leader of each team. The role requires the ability to navigate and change directions quickly within a fast-paced environment, and embrace challenge. The role requires organization, collaboration, attention to detail and the ability to balance time and attention equitably and efficiently across three fun, diverse, and inclusive teams!
Responsibilities
  • Manage multiple team leaders’ rhythm of business, including monthly, quarterly and annual events, engagements, and customer forums in partnership with business management.
  • In collaboration with team business managers, open purchase orders (POs) and track efficiency of PO management
  • Alias management
  • Reconcile and submit expense reports for team leads’ expenses
  • Be a liaison with key business partners including Human Resources and Finance
  • Embody our culture and values
  • Assist with new hire onboarding, computer & peripherals ordering
  • Provide end-to-end calendar support for team leaders, including proactive planning of external partner meetings in tandem with planned business travel to drive schedule efficiencies.
  • Assist with coordination of space management and event coordination with various stakeholders when central to team lead’s schedule
  • Perform any adhoc administrative tasks
Qualifications
Required Qualifications
  • 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • OR equivalent experience.
Preferred Qualifications
  • Experience working in an environment that required multi-tasking, meeting deadlines, changing direction in rapid response to a fluctuating work environment and prioritize among multiple projects and teams with a dynamically changing workload.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)
  • Exercise sound judgment, tact, diplomacy, integrity and professionalism in all communications.
  • Ability to represent Microsoft well with important internal and external community partners.
  • Proficiency with Microsoft (MS) products including Outlook, Visio, Word, Excel and/or PowerPoint.
  • Attention to detail, problem-solving and troubleshooting skills.
  • Planning, organizational, and time management skills.
  • Cross-team collaboration & organizational skills.
  • Knowledge of Microsoft internal tools such as Employee Central, iCIMS, MS Travel, MS Expense, MS Approvals, MyOrder, MS Invoice, and HeadTrax.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
  • Knowledge of corporate organization and culture and ability to navigate it successfully.
  • Curiosity in Artificial Intelligence (AI) tools and copilots to increase efficiency.
  • Ability to react with appropriate urgency to situations and requests.
  • Ability to be flexible and work quickly and efficiently.
  • Ability to maintain confidentiality and use discretion and judgment at all times.
  • Verbal and written communication skills.
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $22.79 - $39.66 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $33.03 - $45.91 per hour.
