The Unified Security Intelligence (USI) team’s mission is about driving forward the disciplines of Threat Intelligence (TI) and Artificial Intelligence (AI) for Cyber. We turn signals into machine and human readable intelligence. We are leveraging the power of AI to improve lives, combat threats and carry out complex tasks. We are directly responsible for a portfolio of products across GenAI for Security Copilot, Threat Intelligence for Microsoft Defender Threat Intelligence, External Attack Surface Management/Posture and Fraud Prevention which are horizontal and essential capabilities.
As a Business Administrator, you will provide seamless support to 2 Partner General Manager, including calendar, travel, & team support. The position requires excellence in primary administrative functions, as well as the responsibility for executive-level interfaces, potential contact with customers and partners, as well as contact with all levels of Microsoft employees worldwide. Beyond calendar, travel, and team support, the ideal candidate for this role will need to be able to navigate and change directions quickly within our fast-paced environment; have stellar interpersonal skills and initiative; demonstrate good judgment; proven ability to accommodate diverse work styles; be both fair and unbiased; and the ability to maintain high levels of confidentiality. You will also be skilled at setting priorities and handling multiple tasks simultaneously. Being detail-oriented and having consistent and timely follow-through will be essential to your success.
Responsibilities
Responsibilities include (but are not limited to):
- Proactively manage 2 Partner General Manager’s calendars, making decisions on their behalf based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time, including scheduling with other Microsoft executives and external customers and partners.
- Work closely with USI Corporate Vice President Executive Assistant (EA), peer EA's, and the USI team’s Business Manager helping to manage Rhythm of the Business including the team’s budget management, leadership meetings, business reviews, All-Hands meetings, and other key discussions
- Travel logistics, trip preparation and expense reporting
- Manage team space needs and office moves as required and coordinate with the Cloud Ecosystem Security space planner
- Coordinate team morale events and/or broader team-wide events in collaboration with the admin community
- Professional presence at all times, as a representative of the team and Microsoft to outside customers
- Develop and maintain strategic working relationships with key business stakeholders/leaders across the organizations
- Manage headcount information and be a proficient user of all internal people, budget, and space management tools to generate relevant, timely, and accurate reports
- Excellent judgment in dealing with confidential information and ensuring accurate and timely distribution of information
Qualifications
- 2+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work

- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint required. Proficiency with Microsoft Internal tools, i.e., Employee Central, ICIMS, OneNote, SharePoint, and Teams required
- Be a team player who will demonstrate drive and initiative, and have a positive and professional approach, living Microsoft culture with a focus on a growth mindset
- 3+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- Ability to accommodate diverse working styles and perspectives of all individuals Proven ability to prioritize own work and resources to complete projects on time and to solve routine problems effectively
- Excellent written and verbal communication skills
- Excellent cross-team collaboration with a proven ability to work across organizations and reporting boundaries to get things done
- Desire to take on big challenges and be able to see the big picture and the details
- 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
- Ability to react with appropriate urgency to situations and requests
