: Executive Assistant to the CEO
Introduction:
Patriot Holdings is a Top 10 Self Storage owner in New England. Our portfolio of assets is held under the All-Purpose Storage brand, providing safe, secured storage facilities. Patriot invests in existing facilities as well as ground-up developments. We manage multiple fund strategies that invest across our diversified portfolio. Due to our quick growth, we are looking for an experienced Executive Assistant to the CEO to join our growing company. Role Overview:
As the Executive Assistant to the CEO of Patriot Holdings, you will play a crucial role in supporting the CEO in managing various administrative tasks and ensuring the smooth functioning of daily operations. This role requires exceptional organizational skills, strong attention to detail, effective communication, and the ability to work under pressure.
Responsibilities:
  • Transactional Knowledge: Utilize your transactional knowledge to support the CEO in various real estate equity transactions, including due diligence, documentation, and coordination with relevant parties.
  • Communication Liaison: Act as a liaison between the CEO and internal/external stakeholders, ensuring effective and timely communication on behalf of the CEO.
  • Email Management: Monitor and manage the CEO's email inbox, drafting responses, prioritizing incoming emails, and ensuring timely follow-up on important messages.
  • Special Projects: Assist the CEO in executing special projects, conducting research, and providing support as needed.
  • Meeting Coordination: Arrange and coordinate meetings, including preparing agendas, booking meeting rooms, organizing catering, and taking meeting minutes when necessary.
  • Task Briefing: Provide daily briefings to the CEO on important task items, ensuring that they are aware of upcoming deadlines, meetings, and key priorities.
  • Records Management: Maintain accurate records and files, both physical and electronic, ensuring confidentiality and easy retrieval when needed.
  • Escrow and Title Support (Preferred): If you possess knowledge of escrow, title, or have worked in a real estate law firm, provide support in managing escrow and title-related activities as required.
  • Calendar Management: Efficiently manage the CEO's schedule by scheduling and coordinating meetings, appointments, travel arrangements, and other commitments.
  • Document Preparation: Assist in preparing reports, presentations, and other documents for internal and external meetings.
Qualifications:
  • Attention to Detail: Strong attention to detail and accuracy in all aspects of work, including calendar management, email correspondence, and document preparation.
  • Technical Proficiency: Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other email and calendar management tools, such as Google.
  • Confidentiality: Demonstrated ability to handle sensitive information with utmost confidentiality and discretion.
  • Previous Experience: Minimum of 3-5 years of experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Real Estate Knowledge: Familiarity with real estate transactions and the ability to understand and navigate complex real estate documents is highly desirable.
  • Organizational Skills: Strong organizational skills with the ability to prioritize tasks, manage multiple calendars, and meet deadlines effectively.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to draft professional emails, prepare reports, and communicate effectively with diverse stakeholders.
  • Adaptability: Ability to thrive in a fast-paced, dynamic environment and adapt quickly to changing priorities.
  • Team Player: Collaborative mindset with the ability to work effectively as part of a team and build positive relationships with colleagues and external contacts.
