Seize your opportunity to make a personal impact as an Executive Assistant supporting a future opportunity with ARPA-H, a new operational division of HHS. This program will provide delivery of comprehensive administrative and IT support services, including: program and project management, administrative, security, service desk, application development and maintenance, networking, and cloud hosting services. You will be responsible for providing high caliber administrative support to the ARPA-H Leadership and senior managers in a timely and professional manner.
This is not your typical Executive Assistant role. ARPA-H is a new agency. The ARPA-H operational model includes three office locations (Maryland, West Coast, Hawaii) and anticipates growing to 800-1000 personnel. Resources and service delivery must accommodate the virtualized ARPA-H model as well as the hybrid work environments that are commonplace today.
Dealing with senior leadership you must bring a professional demeanor and be able to handle sensitive information and communications with discretion. Your role is intended to enhance senior leadership effectiveness by providing information management support; representing the executive to others; facilitating internal communication (e.g. distribute information and schedule presentations); conserving senior leaders time by doing routine tasks, managing executive calendars, screening and taking calls for executives; drafting letters and documents; collecting and analyzing information; initiating telecommunications; and acting as the point of contact between executives and employees/clients. To succeed in this role you must be a self starter and problem solver with strong written and spoken communication skills with exceptional interpersonal skills.
HOW AN EXECUTIVE ASSISTANT WILL MAKE AN IMPACT
- Handle confidential or sensitive information with discretion
- Enhance senior leadership effectiveness by providing comprehensive administrative support services
- Organize events, meetings and working sessions, including related travel.
- Provide high-level administrative support to the ARPA-H Leadership and senior managers
- Monitors and reports on cost, and schedule objectives are met.
- May support business development activities, perform research and create presentations.
- Facilitate written and oral communications including drafting and refining correspondences, taking phone calls from internal and external contacts; and serving as point of contact for executives
- Interacts regularly with customers and technical teams. Prepares reports, program documentation/artifacts and deliverables for the customers.
- May lead meetings and participate in scrum sessions.
WHAT YOU’LL NEED TO SUCCEED:
- Education: Bachelor of Arts/Bachelor of Science or equivalent combination of education and experience, including ITIL certifications.
- Minimum of 8 years of work experience with at least three (3) years of experience working with top executives and managers on multiple organizational levels in the Federal Government and/or healthcare industry.
- Required Skills:
- Demonstrated ability to manage multiple schedules and maintain communication across teams remaining focused, consistent, punctual, and reliable.
- Demonstrate proactivity and high energy yet driven and focused. Proven excellence in written and oral communications and/or presentations.
- Organized and trustworthy with confidential and personal information. Resourceful and independent problem-solver.
- Location: Bethesda, MD
- Timeline: This is a contingent position expected to start in the fall of 2023.
- Security Clearance Level: The selected applicant must be able to pass a government security investigation for Public Trust access.
